Introducing the Codan Lifestyle Perk and Benepass

We believe that perks should feel like perks, not an extra inconvenience to manage in your day to day. Coda has redesigned our approach to lunch and fitness expenses by rolling these perks into an expanded lifestyle category so you are able to select and prioritize what matters to you. Effective October 1, 2022, all full-time Codans will be enrolled in a $350/month lifestyle perk that can be used on a variety of mental and physical wellbeing. Part-time Codans will be eligible for a pro-rated amount. Interns are eligible for $350/month for the duration of their internship.

You will receive a series of welcome emails from Benepass within the first few weeks of launch that detail out how to set up your account, how-tos for submitting reimbursements, ordering physical cards, using virtual cards, and more!

Must-Know

The $350 amount is added to your Benepass account monthly and expires every 3 months.

Lunch, fitness, education, home office set-up stipend, are moving to Benepass while your other perks ( team events, company events, etc.) will continue to require reimbursement requests in Airbase and travel will continue to be booked through Trip Actions.

Lifestyle expenses are a taxable benefit based on IRS guidelines of non-taxable and taxable benefits. This benefit is not meant to cover non-taxable items, such as medical expenses. Any spending in the program is considered additional income (the technical term for this category of income is "imputed income") and is taxed at your ordinary income tax rate. You will only be subject to tax on the amount that you use. We’ll initially be adding imputed income (used funds) to an employees pay profile on a calendar quarter basis, where the tax impact will occur based on your ordinary income tax rate. Once added to the payrun, employees will see tax withheld based on their spending. No action is needed from employees.

Benepass cards transact globally everywhere Visa is accepted.

Note: International Codans — Virtual and physical Benepass card will be the most seamless, hassle-free experience. Any personal card reimbursements will have to be reimbursed through Deel on a monthly basis.

Must-Do Action Items

Submit all lunch and fitness expenses incurred prior to October 1 to Airbase by October 30.

Moving forward, any receipts and expenses October 1st onwards should utilize and be processed through Benepass

Enroll in Benepass at your convenience.

Note: New Hires will receive a prorated amount based on when they join. Their account will be activated with contributions by end of their start date.

No more receipts and individual lunch expense reports! Because Benepass manages transactions on the backend, you don’t need to submit expense reports or receipts, unless you’re using a personal card.

One budget for perks By combining lunch and wellness your spending options are expanded, allowing you to spend on what’s most important to you.

Monthly v. daily budget With a monthly budget, you’re not confined to the $13/day budget for lunch or $50/month for fitness, but instead a $350/month budget for you to use at your discretion on eligible expenses. This also opens you up to spending on things Airbase didn’t allow for like groceries and meals over $13.
