CLIENT ONBOARDING CHECKLIST


Goal: Get a new client from signed contract → live system in 1–2 days.

Step 1: Welcome & Intake


Send welcome email with portal link / booking link
Collect client info:
Business Name
Owner Name / Contact info
Average job value / service pricing
Current phone system / CRM (if any)
Existing marketing channels
Explain the system spine: Lead capture → SMS follow-up → Appointment booked → Pipeline update

Step 2: Sub-Account Setup in GHL


Create new sub-account for the client
Import Master Snapshot (TRENDR Appointment Revenue OS – v1)
Rename:
Pipeline stages (optional, niche labels)
Calendar (Service Appointments)
SMS messages (contextual tone & service type)

Step 3: Phone & Calendar Integration


Buy / assign local phone number
Verify Twilio integration (via GHL)
Sync calendar with Google / client calendar
Test SMS delivery

Step 4: Automation & Sequence Verification

Test Sequence 1 – Lead Recovery:
Call number → missed → SMS triggers → lead appears in pipeline
Ensure pipeline stage updates correctly
Optional: Prepare SMS variants for niche


Step 5: Meridian Diagnostic Intake


Enter baseline metrics:
Missed calls per week
Appointments booked
Revenue per appointment
Record system version & date

Step 6: Go Live & Training

Walk client through:
Dashboard (pipeline, SMS, appointments)
Meridian reporting overview
Confirm client knows how to view appointments & respond

Step 7: Monitoring & Reporting

Set reminders to check first week of leads & appointments
Input performance metrics into Meridian
Prepare before/after report for first month
