For matters that might need immediate discussion, we use the Trustees WhatsApp group.
For other matters, and the preferred method of communicating in general, is via email.
If an email is sent to all trustees will receive it in their inbox. This system is currently managed by Charlie (Unit 10) who can add and remove trustees as needed. Always CC the above email in correspondence (including quotes, communication with Managing Agents, etc.), so other trustees can stay informed and can provide assistance as needed.
It is useful to CC the managing agent (PA and PM) in important emails, especially those where the trustees made decisions, so they can be kept up to date.
We try to attend a trustees’ meeting once per month, usually virtually. Other decisions and actions can be handled via email.

So that we stay organised, here is a list of our important documents:
(private: all trustee meetings)
(public: all tenants and owners can use this form to submit an issue or propose an improvement for consideration)
(private: only the trustees can see the submissions, prioritise them, and take action as needed)
(public: information about the building, so that tenants and owners know how to troubleshoot some basic things, and know how to submit issues to the trustees and managing agents)
