Accounts & Resellers

For approved resellers we offer the ability to manage your own client accounts from Bodyswaps Go.
This is done via the Accounts page where you can create and edit accounts.

Creating an account

When you log in and access the accounts tab you should see a list of all the accounts you own, similar to this one:

To create a new account click CREATE ACCOUNT button at the top and fill in the form:

Basics

Account name - the name of the client
Geographic Region - currently split between EU and GB. New regions will be added in future. EU is the default
Account Type - either Trial or Standard. Standard should only be used for paying customers. From a client perspective it makes no difference and is used for back-end / administrative purposes only.

Limits

In this section you can control what content the user can access:
Expiry date - what date the account will auto expire
Max Sessions, Max Devices & Max Users - set these to 0 for unlimited. Note that having unlimited users means that guest users option is disabled
Allow guest users - enables guest login. This is displayed in the app, as an option on the enter pin screen.
Access entire library - enables access to the Bodyswaps library (on by default). If you switch off then you can restrict content to specific modules via the drop-down.

Default Device Settings

This section controls the default settings for all devices on this account. We recommend you don’t change these, with the exception of the Usage Mode
Learner Data Collection - must be enabled for learner data storage
Voice Features - enable/disable voice processing
Anonymous Analytics - enable/disable in app analytics
User can override these - allows these to be changed from the in-app menu
Usage mode refers personal, shared 1 and shared 2 device modes. Read more about how these modes work

Advanced

Generally you shouldn’t need to change these, only in special cases.
Legacy Account ID - not used
Provision Token Limit - the number of sessions that can be run on a device before it has to call into the server.
Provision Time Limit - the number of days that the app can run before calling into the server.

Granting access to the client

Once the account has been set-up, you can grant access to the client either by:

Creating an access code

A six digit access code can be sent to the client that lasts for 30 days.
Click on the account name in your account list
Find the section ‘Generate a 30 day code’
Click generate
Copy and email the client this code

Note: you can’t review this code later, so make a copy of it straight away. However if you do lose it you can always create a new code at any time.

It is worth understanding what this code does - it is called an anonymous access code.
When entered in the app, it registers the device with our service, but it doesn’t sign-in a user. If the account has a max user limit then afterwards the app will request a user to login (by entering a different code) or accept a guest login (if enabled on the account). However, if the account has no user limits, then the app will continue as normal in anonymous mode.
Why? Because if the commercial terms of the license are around user numbers then allowing anonymous usage would allow the client to bypass the limits
Note: there is no requirement to ever use an anonymous access code, unless you want to use Bodyswaps anonymously. When a user logs in or joins a class the app is automatically activated and the device registered.

Creating an admin for the account

You can assign one or more admins for the account - who can in turn enrol users themselves.
Click on the account name in the list
Scroll down to the bottom to the Administrators panel.
Click New Admin and enter their name and email address
They will receive an email from Bodyswaps to create a password on Bodyswaps Go. Once logged in they will have access to all the functionality of the system, except Account creation.

Administering an account

If you are administering this account on behalf of the client then you’ll need to add yourself as an admin of their account so you can login and use the features of Bodyswaps Go.
To do this:
Click on the account name to access their dashboard
Scroll to the bottom to the Administrators section (same as the in the previous section)
Add a new user, but put your name and email address in.

Now you are an admin for their account, you will not need to re-register a password you can use your existing one.
Logout and then log back into Bodyswaps Go - using your existing email / password
After entering the password you will now see a list of all the accounts you are an admin of (ref: )
Click the account you want to control

At any point you can click on the top right profile button to swap to another account or to go back to your home.

Reviewing account usage

At any time you can review the accounts dashboard by clicking on the account name in the list.
This will take you to the Organisation page for their account:
