The List

Name tags: use stickers, magnets, lanyards; avoid safety pins
Welcome sign: for saying hello and/or pointing people to the right room
Projector + screen: for projecting content
Speakers: for playing audio in any media
Wifi access sign: network name + password written or posted for participants
Clicker: for presenters to move through content
Flip charts or whiteboards + markers: for writing in large form while speaking
Post its + sharpies: for brainstorming; only use sharpies on post-its for easier reading
Notebooks + pens: for participants to take notes; bonus points if you brand them
Main room + breakout spaces: work should happen in small groups, secure several spaces
Content: have this ready in advance so you’re not editing last minute
Content companion: give attendees some way to follow-along with content. Examples include: doc link, printed handout with skeleton sections for note-taking, a workbook, etc.

Shipping

Ship your supplies in advance: consider a standard “kit” on Amazon you assemble and ship.
Identify your local point-of-contact: include their phone number on the package and let them know it’s coming.
