Once you've designed the event, communicate heavily.

Pre-Event Communications

Send pre-event communications directly to attendees: include what to expect, why they’ve been invited (make them feel important), what they’ll accomplish, who will be there (ex: roles, brands, leaders, etc.).
Include a survey on dietary needs and any extra accommodations needed: this will aid your logistics planning.

Meeting Invitations

Research and avoid holidays: international and individual workplace holidays will vary, honor them by being informed.
Send meeting invitations to attendees with clear details: location, building access, start / end times, a request that they “accept or decline” the invite for headcount, and a recommendation on hotels (if applicable).
Send meeting invitations to your team with expanded timelines: include extra time for setup and cleanup each day.
If you choose to ‘test’ what you build in the workshop: pre-schedule via calendar invites with stakeholders or other users a few research-style “feedback slots” for reactions to the work. This can create a focus on making (vs. perfecting), and is motivation to continue the work after the event ends.

Post-Event Communications

Close the loop: include a few choice photos from the event in a thank you email to the attendees/stakeholders with a summary of what we accomplished and any next steps; if doing a multi-day workshop, do this at the end of each day.
