Define Event Name & Roles

Start by deciding who will be involved in the event, and how.

Choose a Name

Name the workshop: this may sound silly, but absent a name, you’ll waste energy repeating the date/location/focus, and struggle to cite it in your communications. So name it!

Names can be fun Start strong. Choose something exciting or abstract, not practical or dry.

Define Clear Roles for the Team

Who is facilitating the teaching of the main content? This could be multiple people. Choose people who are engaging speakers or who want to learn and practice that skill. Aim for diverse backgrounds in your speakers when possible.
Who is guiding participants in the breakouts? This should be multiple people to answer questions, facilitate reflections, etc. as attendees are practicing and applying skills.
Who is playing on the ground logistics support role within the team? E.g. for food and beverage, wi-fi woes, supply runs. Sometimes this is a person at the host/client site, sometimes this is someone on your team (rotate as necessary).
Who is taking lead on communications? This could be a support person, or a team member.
Who is taking notes? Who among the facilitators (or attendees) will take point on taking notes in the main sessions, during Q&A, or in breakouts?
Who will take pictures? This will allow the team to tell the story of these workshops in the future. Note: double-check whether you need permission to do this beforehand.
One person can’t do it all. Provide yourselves breaks and division of labor, facilitating is a team sport.
