Event Types

When creating an event, you have two event types available to you: Virtual UG and In-person/Hybrid UG. This page will go into further detail about each event type, how to create an event, and best practices.

Virtual Splunk User Group Event:

You can decide to use the Bevy platform or an external platform like Zoom, Teams, etc.
Below we’ll outline best practices:
We always recommend testing your virtual event software the day before to make sure you’re ready to go for the day of the event
If you are using an external link like Zoom or Teams, please do not share the permalink. We’d love for all attendees to register on our community hub!
We strongly recommend keeping presentations to 30 minutes or under. The event agenda should not pass 1 hr. If attendees want to stay and chat afterwards, that is totally fine!
We strongly encourage having your camera on and encouraging your attendees to have cameras on for a more engaging experience :)
Have attendees introduce themselves one by one or in the chat. As a community leader, you want attendees to feel welcome and engaged. (Icebreaker example: How long have you been using Splunk?)
Networking is the most important piece of any user group event. Whether it’s in-person or virtual, make sure to schedule time for people to get to know one another.
This is meant to feel like an in-person event. Friendly interruption and discussion is encouraged :)
Remind your attendees to join your chapter and subscribe so that they can stay up to date on upcoming events.
Encourage your attendees to invite a friend to the next event.

In-Person or Hybrid User Group Event:

Below are some tips & guidance on best practices for an in-person event:

Splunk User Group agendas can vary significantly, but one thing remains essential: networking time for attendees! Often the User Group leader will go around the room and have attendees introduce themselves, and/or carve out a good amount of time at the beginning or the end of the event for networking. In fact, networking can be the bulk of the event!
You may have assumed that Splunk-centric content is another essential of Splunk User Groups. Well- yes- usually! But, it doesn't hurt to do an old-fashioned celebration once or twice a year to further strengthen the community.
Example User Group agenda: 5:30 - 6:00 PM - Attendee arrivals and networking 6:00 - 6:15 PM - Welcome and Kick-Off (User Group Leader, Splunker, Attendees) 6:15 - 7:00 PM - Featured Content (i.e. Guest Speaker, etc*) + Q&A 7:00 - 7:10 PM - Closing Remarks 7:10 - 7:45 PM - Drinks and networking
Swag: There are a few options regarding swag, for any prizes given away, you can use Wheel of Names to giveaway live. Just share your screen. For events with 30+, it can be tricky, but I cheat throughout and populate attendee names into Wheel of Names in advance so that when it is time, I don't have to waste time populating it. Note that winners have to be present to win. You can also
