Pathshala Process Doc

Objective: This process document outlines the step-by-step procedure for conducting tests at Pathshala, providing a clear understanding of how tests are organized, administered, and managed within our educational institution.
Scope: This document covers the entire process of test conduction at Pathshala, from test scheduling and preparation to actual administration and result dissemination.
With this objective in mind, you can proceed to the next section where you'll provide an introduction to the process and its importance.

1. Introduction

At Pathshala, the successful execution of tests is essential to evaluate student progress and provide valuable insights into their learning journey. This process document delineates the systematic approach followed in conducting tests, ensuring that results are promptly delivered to students. Through this process, we aim to uphold the integrity of assessments, maintain consistency, and facilitate a transparent and efficient testing environment.

2. Process Overview

Test Syllabus Announcement:
Six days before the scheduled test date, the test Academic team will announce the test syllabus.
This announcement provides Students with essential information about the topics and subjects covered in the upcoming test.
The test syllabus serves as a guide for Students to focus their preparation effectively.
Test Timings:
The test timings are fixed and shared through the app's announcement section.
The offline_test_series team determines the timings based on capacity and the number of tests.
These timings are carefully allocated to various centers, ensuring efficient test administration.
Participants are informed well in advance to be present at the designated center at the specified time.
OMR Processing and Upload:
After the test, OMR sheets are processed to capture participants' answers accurately.
The OMR data is then uploaded to a designated Drive or storage location.
This step ensures the reliable collection of participants' responses for further processing.
Results Processing:
A designated individual collects the OMR data from the Drive.
The collected data is processed to generate participants' test results.
The processing is completed by the end of the T+1 day (the day after the test).
EVAL Result Processing:
The EVAL OMR software, a powerful Optical Mark Recognition tool, is used for efficient data capture and analysis.
A new template is created for each test to ensure accurate alignment with answer keys and subject-wise results.
The software evaluates Students responses and produces an Excel file of their scores.
The Excel file is consolidated and shared for further processing.
Results Consolidation and Summary:
The individual scores are consolidated, and a comprehensive summary of overall test performance is created.
This summarized report is prepared and shared with stakeholders by the end of Wednesday (EOD).
Results Display:
Participants can access their individual test results through the designated app.
Results are available by Tuesday night or Wednesday, allowing participants timely access to their performance feedback.
This prompt result dissemination fosters transparency and enables participants to track their progress effectively.

Test Schedule and Timings:

The test will take place at the designated centre according to the predetermined schedule. The timings for the test are fixed and will not be subject to change. This ensures that all participants are aware of the specific time they need to be present for the test.
Test Syllabus Announcement: Six days before the scheduled test date, the organization responsible for conducting the test will initiate the process of announcing the test syllabus. This step is crucial as it provides participants with the necessary information about what topics and subjects will be covered in the upcoming test. The test syllabus serves as a guideline for participants to focus their preparation efforts effectively.

Test Timings:
Test Timings are shared on the app announcement section the timings are provided by offline_test_series team based on the capacity and number of test we provied test timings to the centre. Below is the representation of it.

OMR Processing and Upload:

Following the completion of the test, the test coordinator will be responsible for processing the Optical Mark Recognition (OMR) sheets. Once processed, the OMR data will be uploaded to a designated Drive or storage location. This step is crucial to ensure the accurate capture of participants' answers for further processing.
The OMR is processed using the Scanner which is available at the centre below is the image of how it looks like. This is the responsibility of individual centres to scan the OMR and upload it in Respective Drives Provided.

Results Processing:

A designated person will be assigned the responsibility of collecting the OMR data from the Drive. This individual will then process the collected data to generate the test results. It's important to note that this process needs to be completed by the end of the T+1 day, which refers to the day after the test.

EVAL Result Processing

EVAL OMR software is a sophisticated Optical Mark Recognition tool designed to streamline the data capture and analysis process. OMR technology involves the detection of marked areas, such as checkboxes or bubbles, on printed forms, and translating them into digital data for analysis. This software is particularly valuable in scenarios where large volumes of data need to be processed accurately and efficiently, such as assessments, surveys, and tests.

Steps of EVAL software for result Processing

Creating New Template:

Step 1 is to create a new template by clicking on NEW Button for the test which was conducted. This has to be done by the test coordinator after every test just to make sure the Answer key and deatils of subject wise results are obtain in proper format.

In above Image Test Name has to be defined by the test cordinator and the test date.
Answer sheet template are already provided by the Santosh sir on Drive link attached
Answer key is already provided to us in drive where question paper are attached for respective question the answer key has to be typed manually

After filling the respective details your template will look like below

The full marks and Negative marks are given accordingly which is mention in the question paper General instructions.

Evaluate:

Next step is to Evaluate this is to be done by clicking on the Evaluate button. As soon as you click on this button below shown window will pop up.

In the Answer sheet Folder attached the folder in which OMR files are present in the JPG format.

After attaching the folder below window will appeared in which you will be able to see the OMR present in the folder.

Click on the Evaluate button which will immediately start the Evaluation in the Error tab if any error is present in the field it will show the error.

After opening the file the you can view the question wise responses which are read by the software

To Export the result please Click on the Export as Excel

Above file will be then be exported which will be Further use for result Processing.

Results Consolidation and Summary:

Once the result processing phase is completed, the analyst receives a consolidated file encompassing results from all courses. This consolidated file serves as the basis for uploading results onto the admin portal. The following steps outline the necessary preparations before the upload:
Obtaining Phone Numbers Using Registration Numbers:
Utilizing registration numbers, the analyst acquires corresponding phone numbers.
A prepared sheet provides the necessary mapping between registration numbers and associated phone numbers.
Accessing Phone Numbers via Prepared Sheet:
A pre-existing sheet contains the vital link between registration numbers and respective phone numbers.
This sheet facilitates the retrieval of accurate phone numbers to streamline the upload process.
Compilation of Question-Wise Responses:
Student question-wise responses are copied into a separate file.
Integration with Phone Numbers:
The compiled CSV file containing question-wise responses is matched with the corresponding phone numbers obtained earlier.
This integrated file merges question responses with student identification.
Upload to Pen Pencil Portal:
The final integrated file, featuring both question-wise responses and associated phone numbers, is ready for upload.
This consolidated file is uploaded onto the Pen Pencil portal, thereby populating the admin portal with accurate and comprehensive results.

Results Display:

Participants will be able to access their individual test results through the designated app. These results will be made available by Wednesday, giving participants timely access to their performance feedback. This prompt dissemination of results helps maintain transparency and allows participants to track their progress.
The results will be displayed on the app of student below is the image how it will look in app.

After clicking on View Solution student can basically view his/her detail analysis subject wise.
