EP Website Monthly Review & Update SOP

Purpose: To ensure that all key website content on the Emerge Performance site is accurate, current, and aligned with upcoming programs, events, and resources. This includes cohort dates, brochure links, and event listings, especially on the TPC, TTC, TEC, and TCV pages.
Frequency: 🔁 Monthly, during the last week of each month (e.g. the final 5 working days of the month).

📝 Step-by-Step Process

Step 1: Prepare Updated Info

Confirm latest cohort dates (English + Chinese) for TPC, TTC, and TEC (check with Astrid)
Gather upcoming TCV events and their registration links from Disco
Check if any key headlines or CTAs (e.g. “Join our August cohort”) need date or wording updates

Step 2: Review and Update Website Pages

Go to each target page (see table above)
Update all static date references, event details, and headings
Double check that no outdated events or expired dates remain

Step 3: Check and Update Program Brochures (PDFs)

Open Canva files for TPC and TTC brochures (and TEC brochure, if/when we make one)
Update cohort schedule or any other changed details
Export new PDF versions
Upload the updated PDFs to the website and add UTM codes to the links for the file locations
Link the new PDFs to the “Download Brochure” button on each program page
Confirm that the new links work (open PDF in a new tab and verify accuracy)

Step 4: Perform a Final QA Check

Review all changes on desktop and mobile
Click through all updated links to ensure accuracy
Proofread for any lingering typos or outdated phrasing
Confirm that images, formatting, and buttons appear as intended

💡 Additional Best Practices

Always archive old PDFs and save new brochure files with clear filenames
Keep a version control log for each brochure file update
Consider maintaining a shared spreadsheet for tracking historical cohort dates and associated brochure versions
Before publishing changes, preview updates in mobile view to ensure clarity and alignment
