The zones
The Focus Zone 😌
'It takes people 20 minutes to focus on a task'.
The focus zone is a relatively long stretch of hours in a day where each of us can work uninterrupted.
During these times there are:
No Meetings
No interruptions
No talking
No direct slack/whatsapp messages
It should wait until everyone's out of the focus zone to be discussed. Unless something is Urgent.
Urgent breaks the Focus Zone. Urgent means we have to stop working NOW on everything and focus on: A blocker/issue that cannot wait An Urgent/High priority customer Issue (see SLA). An answer that is needed cannot wait.
Any false 'Urgent' alarm should be reported and resolved to eliminate from happening in the future. It's an iterative process until we perfect it. Be calm, do not over-react and inform why it's false.
Tips to reduce the chances of being interrupted
Keep everyone involved updated so they don't have to ask: "What's the updates on X/Y/Z". Utilize channels and broadcasts wisely to inform and share. Eg. Submit your standup to the channel #dev-standups so others know you're working on. Documentation is key! Document important stuff and make them available for people to use. Think Self-Help! Automate tasks on your behalf. "Create the robot instead of being the robot" - Zapier Lead by example. If you interrupt others you will be interrupted. Set your slack status to Focus Zone. Be careful not to abuse it, as you will be interrupted eventually. I'm Available 😃
Scheduled time during the day where you're available for anyone to get in touch. Usually, available time is scheduled mid-day to overlap with multiple timezones.
I'm available times: 11am - 3pm
Ensure that you are reachable, available and responsive. Aim to have your meetings during your available time. This free's your focus zone to focus on getting things done! Always Available 😎
Overrides both the Focus Zone and I'm Available working modes.
Always available occurs when:
A deadline is approaching and team mates need to keep constant follow up. Team work is taking place to either collaborate or work closely on solving a challenge or a problem. Urgent situations as described above and needs everyone's full attention. Meetings
General Guidelines
Have an agenda for every meeting. A meeting without an Agenda is a no-go. The easiest way to add an agenda is to use the "description" section in the calendar invite. Try to schedule meetings within the "I'm available" times. There will be sometimes when they're not, but that's okay. Stick to 30 minute meetings (or less). Respect each other's time. Never book a meeting unless the situation calls for it. First, nudge on slack, if both parties agree, book a meeting. Hijacking calendars is not nice. If there's an English speaking attendee, meeting must be conducted in English. Learn and be prepared to communicate in English. It's the language of the world. Remote (conference) Meeting Guidelines
Connect early, test your mic and camera to avoid connection & technical issues. Dress comfortably & professionally. Your camera should be on by default. Exception: a bad internet connection. Your mic should always be on, unless the meeting has 5+ attendees or when your background noise is interrupting the meeting.
