General Info
FIU does not have a central reservation system, so we’ll be getting several different bills / registering in a few different places (one for the meeting room, one for housing, and one for dining) Freshmen will have already moved in, so most things will be open around campus (restaurants, etc.) Graham Center (GC on map) is the student union with the bookstore, some food, many of the classrooms if we wanted to rent those, etc. – Payment Schedule: The quote will come sometime in March, invoice will come in early April and we will sign the contract and pay the 50% deposit at that point The reason this hasn’t happened yet is because FIU is updating their registration software, but Sean has assured us that we’ve done everything we need to to ensure we have this space reserved Where is our request in the process? (not yet approved due to tax exempt status approval)
Lodging / Registration
70 beds - tell him 30 days in advance prior to checking
Everglades Hall - block of rooms reserved for Convo here - $39 per person per night – or $44 per night with linens There will be other groups in the building Accessibility: Elevator renovations will be happening but one elevator will always be functioning
Early check-in for Justin, Dan, Sylvie, others? – We can go back into the check-in process and select that there are folks coming for different dates and add some additional dates for a few of us (Dan has access to this)
Meeting Spaces
Lounge in Everglades that anyone can use, but it can also be reserved for a fee, but it does not have any AV capabilities Each floor has a small lounge, as well We can reserve another meeting space with AV capabilities – Tamiami Hall is the one that Justin saw – Location: Tamiami is right next to Everglades Hall and the room that we’ve held is at the end of the building closest to the stadium Sean put a hold on this room while we were on the call Tech: There are students who work in IT on site and will come and show us how to use the AV, and then we’ll manage it ourselves from there (i.e. they don’t stick around to manage it for us but would be available for questions / issues) Tables/Chairs/etc.: Seating is available for 100, and they’ll have it set up, but we can move things around as needed
Meals
Dining Services Contact: Denisse Castillo () NOTE: when we contact Denisse, make sure to mention that we are a short-term youth summer camp – Sean has seen her assume that it’s a semester program Another dining option is a $10 gift card that can be used at any of the restaurants, etc. and then folks will just have to pay any remaining balance if they go over $10
What kind of food can we have?
Cafeteria will be open (on the 4th of July, the cafeteria will be open, and there will likely be a couple of other options open on a limited schedule for lunch, too) The cafeteria will do to-go boxes for lunch (standard sandwiches, cookies, etc.) and have even boxed up dinners and delivered them to housing for groups returning late to campus after an off-site activity, just let them know in advance Will other food and restaurants on campus be open? Most will be open because of freshmen being on campus
Cost of food services?
Can we bring outside food in? – Yes! We can bring anything in to Everglades
Caveat: We cannot bring outside food into Tamiami - renting that space is considered an “event” and we would need to use the campus catering But... let’s just bring in food on our own anyway, and plead ignorance
Activities / Transportation
What other things on campus could we have access to? (gym? athletic fields? pool? basketball? health center? campus safety services?)
Pool: We would have to reserve it in the morning before 11 or the evening after 7, and we’d have to reserve lifeguards (this is to avoid minors mingling with students while the pool is open) Outdoor activity spaces: There are lawns around campus that we can use for sports, etc. but we can also reserve athletic fields if we want to Rec center / gym: not open to minors Library: not open to us - not even if we “book” it lol Chapel: currently being built Where can we park? (do guests need parking passes?)
A la carte - We will have to pay to park any cars we have on campus (daily or weekly options) Do you know of any bus or shuttle services?
FIU does have transportation services but Sean recommends getting a third party service because the in-house transportation is expensive We are visiting April 7 (available evening) - April 10 (available morning). Is there a time we can stop by in person to meet with you or someone else to view where we’ll be?
Potential questions:
Can we do a site visit on April 8 (9th as back-up)? 11 am to 1 pm on Tuesday the 8th?

Lodging: 5 nights at $44 = $220
Food: $50 per day(?) for 6 days = $300
FIU program space, transportation, activities: $280
$280 x 25 participants =$7,000 program budget
