Role: unDavos Session Owner & Speaker Wrangler

Purpose:
As a Session Owner, you are responsible for crafting a compelling, well-structured panel and ensuring a seamless experience for speakers and participants alike. You manage everything from initial concept and speaker invitations to day-of execution and follow-up activities.

Key Responsibilities
1. Session / Panel Design & Content Creation
Title & Blurb: Develop a working title, finalize it into a clear, engaging headline, and write a brief (100-word) description that captures the session’s essence.
Guiding Questions: Create 4-5 key questions, including at least one controversial or thought-provoking question, to spark dynamic dialogue.
2. Speaker Selection & Management
Speaker Recruitment: Identify and invite suitable speakers—investors, experts, and innovators—ensuring a diverse mix of perspectives. Aim for well-known speakers who are forward-thinkers and will draw interest from the audience.
Speaker Onboarding: Send speakers the registration form (), ensure they join the Speakers Telegram group, and encourage them to promptly submit their bio. If speakers do not complete the form, they will not be featured in marketing efforts.
Contingency Planning: Have backup speaker options in case of cancellations.
3. Sponsor Engagement & Follow-Up
Identifying Potential Sponsors: Research and reach out to organizations, investors, or thought-leaders who are aligned with the session’s theme and may be interested in sponsoring the event.
Proactively communicate with sponsors before, during, and after the summit to maintain strong relationships.
Acknowledge sponsors during the session, in marketing materials, and through on-site branding.
Gather post-session feedback from sponsors to assess their satisfaction, explore future collaboration, and continually improve sponsorship opportunities.
4. Coordination & Communication
Telegram Engagement: Act as the main point of contact for your speakers and moderators in the designated session Telegram group. Promptly answer questions, share updates, and keep everyone aligned. Per session there will be three telegram groups, which of you the session owner is responsible for two of:
Session Owners Telegram Group: Back end coordination of the session amongst session owners and unDavos core team. Actively answer questions in the session Telegram group for efficient communication.
Session Speakers Telegram Group: For all speakers, from both panels, in the session. Make sure all speakers are in this group for easy communication.
Session Community Group: This group the unDavos Core team will take care of this group and share with the attendees to facilitate an ongoing micro-community around the session.
Event Tools & Approvals: Get access to and manage your session’s Luma event page. Add yourself as host, review attendee applications, and approve participants if required.
unDavos Team App: Upon registration as a session owner, you will receive an invitation to the unDavos team app. This platform provides comprehensive access to:

Luma:
is our event attendee management platform where you'll be invited as a co-host or host for your session. Working with the unDavos core team, you can customize the app settings based on your specific requirements. For additional details, please refer to the .
Visibility and Outreach: Identify and leverage relevant social media platforms, engage with media partners, and collaborate with industry outlets to broaden visibility, drive attendance, and amplify the session’s impact.
5. Logistics & Execution
Pre-Session Prep: Confirm final details with the unDavos Core Team and Event Manager / Venue Host of the day. Send reminders to speakers one day and a few hours before the session.
Day-of Management: Handle last-minute changes, ensure speakers arrive on time, and collaborate with the unDavos Core Team / , the host and moderator to keep the session on track.
Guest Check-In: For ticketed sessions, oversee attendee check-in unless otherwise arranged.
6. Post-Session Follow-Up
Encourage ongoing engagement with attendees and speakers (e.g., through webinars, sharing relevant materials, or scheduling meetups) to extend the impact of the session beyond Davos, in collaboration with unDavos Core Team.

Time & Skills Required
Pre-Davos: Minimal organizational tasks, primarily setting up session details and speaker comms.
During Davos: About 1–2 hours of active engagement, quick decision-making, and problem-solving.
Skills: Strong organization, clear communication, adaptability under time pressure, and competence with Telegram and other basic event tools.

Session Team Structure
Slot Owner (You): Sets the topic, crafts the blurb, selects speakers, ensures punctuality, and decides on using a facilitator, moderator, or expert-moderator.
Host: Provides on-site support, manages time and session transitions, introduces slot owners, and escalates issues to the core team.
Moderator (or Expert-Moderator): Introduces the panel, asks engaging and challenging questions, encourages audience interaction, and keeps the discussion on track.
Timekeeper (if separate): Ensures sessions start and end on schedule.
Subject Matter Experts & Investors: Offer specialized insights, practical knowledge, and investment perspectives for deeper, more relevant discussions.

By fulfilling these responsibilities, you help create engaging, insightful, and impactful sessions that enhance the overall unDavos Summit experience.
