unDavos Event Manager and Venue Host

Purpose/Context:

As a Host at the unDavos Summit, you will act as the Mistress/Master of Ceremonies for one of the Summit Venues. Your role is crucial in ensuring a smooth and timely flow of the summit's activities and sessions. Hosts are responsible for managing a half-day period during the summit and Venture Day.

Tasks and Responsibilities

Pre-Event:
Familiarize yourself with the schedule and details of your assigned time period.
Get access to the relevant Telegram channels. Speak with Robin to make sure you're in the right groups.
Support panel owners, session owners and program owners with:
Session organization and planning
Session preparation with the goal of session being Finalized and ready for promotion.
Coordination of speakers and participants
Assist Program / Session or Panel Owners with Speaker Support:
Address speaker needs and requests
Assist with technical setup: (@garyshainberg on TG is contact person on AV, that knows everything with AV)
Ideally bring your own laptop that have HDMI port for connection to the room screen.
Audio
We have a PA system with four (4) microphones.
We have a Tablet, in each room, for managing sound; It typically runs automatically.
Make sure the session is recorded on this tablet since we will use the audio post event
Video
We have a TV in each room with HDMI connection.
Communication:
Ensure unDavos Core Team receives complete event information
Coordinate with panel leads on session-specific requirements
Facilitate information flow between all stakeholders.

During Event
Greetings and Check-in(When needed):
Warmly greet attendees at the door.
Check in participants using the Luma mobile app. On Venture Day, handle payments or confirm completed payments.
Opportunity for extensive networking in the lobby area.
Reach out to to get access to to be able to register tickets in the door.
Registration Desk Duties:
Welcome attendees, check their names, and distribute badges.
Be stationed at the reception to assist people and answer questions.
Ensure a smooth flow, filtering attendees to prioritize correct access.
Cleanup:
Rapidly clean up post-session, handling rubbish, leftover glasses, and food if needed. Hotel generally takes care of this themselves.
Support Hotel Reposition chairs and organize the event space for the next session, if needed.
Mcee Introducing Sessions: Announce the title and the slot owner of each session; the presenters will handle their introductions.

Time Management: Monitor the progress of each session, provide a 5-minute warning towards the end, and manage transitions, including guiding people out of the room.
Strict Timekeeping: Ensure adherence to the schedule by concluding over-running sessions in a polite yet firm manner, and smoothly transitioning to the next session.

event ticket system to be able to register tickets at the door. And make sure the have a mobile or computer to log into to register tickets with.
