When a student or staff member is leaving the lab, whether due to graduation, end of contract, or other reasons, it's important to ensure a smooth transition and tie up loose ends.

Below is a to-do list
Data Collection and Storage:
Ensure all research data, including raw data, analysis files, and project documentation, are collected and stored appropriately.
Upload data to the lab's designated storage platform, such as SharePoint or RDS (Research Data Storage).
Create a link to the stored data on CODA (Collaborative Data Analysis) for future reference.
Thesis and Documentation:
Provide a copy of the departing member's thesis, dissertation, or final project report.
Collect and file consent forms related to research participants, ensuring compliance with ethical guidelines.
Gather payment slips for participants involved in research studies.
Return of Equipment and Resources:
Ensure all lab equipment, including computers, peripherals, keys, and any other resources, are returned.
Conduct a thorough inventory check to verify the return of all items.
Blog Entry for Project Students:
Project students should prepare a brief text summarizing their research project for a blog entry.
This text will be uploaded to the lab's website to showcase the work conducted during their tenure.
Contact Information:
Provide updated contact details for the departing member, as their email address associated with the lab will cease to function.
Ensure forwarding instructions are in place if necessary to redirect emails to a new address.
Continued IT Tool Usage:
If there are plans to continue using specific IT tools or services, fill out Form AR21.
Forward the completed form to Max for further action and approval.
By following this comprehensive off-boarding checklist, the lab can ensure a smooth transition for departing members while maintaining data integrity and operational efficiency.
