The role of the Speaker/Program Lead for the UX Camp conference is to manage and oversee the entire speaker journey, ensuring a seamless and impactful experience for both speakers and the audience.
The Speaker/Program Lead bridges the gap between the speakers’ contributions and the audience's expectations, ensuring the conference delivers both quality and value.
This role involves detailed coordination and engagement at each stage, outlined as follows:
Responsibilities by Stages:
Stage 0 (Invitation Sent): Identify and reach out to potential speakers whose expertise aligns with the conference themes and audience expectations. Stage 1 (Invitation Accepted): Confirm acceptance and begin the onboarding process. Stage 1a (Invitation Rejected): Handle rejections professionally and maintain a positive relationship for future opportunities. Stage 2 (Conversations & Refinement): Collaborate with speakers to refine their talk topics, ensuring alignment with audience interests and conference goals. Provide guidance on presentation structure, relevance, and delivery style to enhance engagement and learning. Stage 3 (Talk Submitted): Facilitate the submission of finalized talk proposals and materials to the common UX Edmonton and Calgary UX form. Stage 4a (Talk Rejected): Communicate decisions with clarity and constructive feedback to maintain professional rapport. Most likely a rejected talk will be featured in a monthly event. Stage 4 (Talk Approved): Confirm the talk’s approval and set expectations for the next steps. Stage 5 (Speaker Info Requested): Gather detailed speaker information, including bios, photos, and session outlines, for promotional and logistical purposes. How to make everyone comfortable Stage 6 (Marketing Material): Collaborate with the marketing team on the creation of promotional materials featuring the speakers and their talks. Stage 7 (Marketing Posts): Participate the the dissemination of marketing posts to generate buzz and engagement around the speakers and their sessions. This step is owned by the marketing team. Stage 8 (Event Invitation in Calendar): Ensure all event logistics are confirmed, including scheduling sessions in the conference calendar and notifying speakers. Day of the event. Being the point of contact of the speakers, leading them to their assigned sessions and double checking they are welcomed by the volunteers in each area. Bring your own device reminder Stage 9 (Individual Thank You & Feedback): Send personalized thank-you notes and collect feedback from speakers to improve future events. I spoke at the UX Camp!!!
