Onboarding new employee

As a manager it is your role to successfully onboard any new employee that joins your team. This is an absolute key task for you as a manager and you are expected to spend at least one hour of dedicated time with your new employee per day in the first 2 to 3 weeks.

💪 Pro tips

Successfully onboarding a new employee takes time, lots of time. Make sure that you minimize the number of meetings in your first week and schedule dedicated blocks to discuss the progress of your new team member
For more junior team members schedule at least 2 hours per day for the first 2 to 3 weeks to align on his/her progress
Schedule for every new employee for the first 2 to 3 weeks a short kick off call at the beginning of the day and a 30 minute closing call at the end of the day
Use the entire first morning to onboard a new employee and share screens to work together
Check before the start date of your new team member has access to all IT related tools/software
Clearly state at the beginning of your cooperation what you expect from your new team member and what your new team member can expect from you

Onboarding checklist as a manager

Create email address by sending Alex (alex@smit-ict.nl) an email with the full name (e.g. Adriaan Kolff), email address (e.g. adriaan@matchr.io) and whether this person needs access to Microsoft office. Send this email with the new employee and Adriaan in copy
Create onboarding template in Coda for your new employee based on his/her function. You can find the onboarding templates here:
Add new employee +3 days before start to the Whatsapp group and Slack channel
Give access to Loxo
Give access to Trinsly
Give access to MatcHR’s HR Handbook in Coda
Give access to One Drive by sending the links for One Drive to the new email address
Add new employee to standard meetings (e.g. stand ups, learning presentation, shout outs, company update, retrospective etc.)
Schedule a short kick off call +1 week before start to explain the onboarding process, check if all access has been granted, explain our HR handbook and answer any questions
Send new team member link to add to overall email of MatcHR:
If you are a first time manager create a personal user guide for yourself and upload to Coda for new team member to read
Schedule virtual photo team round on the first day of the start of the new employee for the whole team
Block your entire first day to have no meetings to be available throughout the day
Block at least 2 hours in the next days to be available for your new team member(s)
Update and inform social buddy
