Cafe Asset Manager focuses on the 3 focus of a cafe operations; a) Sales and Profitability, b) Stock Sufficiency and Replenishment, c) Customer Service, d) Overall Reporting
The Cafe Asset Manager is responsible for overseeing the cafe's smooth running and success.
Key responsibilities include equipment maintenance, stock replenishment, customer service, billing and invoicing, and reporting on cafe performance.
The manager must maintain inventory levels, coordinate with suppliers, handle customer complaints, and build lasting relationships with regular customers.
Daily reports on cafe performance must be generated, analysed, and interpreted to identify trends, strengths, and areas for improvement.
The responsibilities are broken down into morning and evening tasks, including equipment maintenance, stock replenishment/reorder, customer service, sales of the cafe, billing and invoicing, and reporting on cafe performance.
Morning
Equipment Maintenance
Inspecting the equipment on a regular basis.
Maintain the list of equipment within the cafe and ensure that it is in operational status.
Report and call for service when the equipment is not in operational mode.
Stock Replenishment/Reorder
Monitor inventory levels of food, beverages, and other supplies regularly.
Create and maintain a stock replenishment system to ensure timely ordering and restocking.
Coordinate with suppliers to place orders, negotiate pricing, and arrange delivery schedules.
Conduct regular stock audits to identify discrepancies, minimise wastage, and optimise inventory management.
Keep track of expiration dates and rotate stock to maintain freshness and quality.
Implement inventory control measures to prevent theft or loss.
Customer Service
Ensure exceptional customer service is provided at all times.
Train and guide staff on delivering excellent customer experiences.
Handle customer complaints or issues promptly and professionally.
Foster a customer-centric culture within the cafe.
Implement customer feedback mechanisms to gather insights and make necessary improvements.
Build and maintain relationships with regular customers, ensuring their loyalty and satisfaction.
Evening
Sales of the Cafe
Develop and implement strategies to drive sales and increase revenue.
Analyse sales data and trends to identify opportunities for growth and improvement.
Set sales targets and motivate the team to achieve them.
Train and coach staff on effective sales techniques and upselling strategies.
Monitor customer feedback and satisfaction levels to identify areas for improvement.
Collaborate with the marketing team to develop and execute promotional campaigns to attract new customers and retain existing ones.
Billing and Invoicing
Coordinate with the accounts department to submit bills and invoices for payment and collection.
Ensure accuracy and completeness of billing information, including pricing, discounts, and taxes.
Maintain proper documentation and records of invoices and payments.
Follow up on outstanding payments and resolve any billing discrepancies.
Collaborate with the accounts department to reconcile financial records and resolve any financial issues.
