A. Communication & Information

Use inclusive language in all communications to emphasise accessibility as a standard. (

Ensure all event materials (invitations, website, registration forms) include a prompt for attendees to share specific accessibility and dietary needs in advance.
Provide descriptive accessibility information (

Where possible, offer travel stipends or subsidies for participants from underserved regions or with limited mobility budgets. Include clear application instructions and deadlines.
Provide free entry for accompanying persons supporting attendees with access needs.

C. Travel & Venue Access Information

Clearly communicate how to reach the venue using accessible public transport. Provide details on nearby accessible transport stops, and indicate the location of accessible parking options.
Ensure the event schedule aligns with the operating hours of accessible transport, or provide alternatives (e.g. arranged shuttles, taxi vouchers).

D. Staff & Volunteer Preparedness

Ensure team members are briefed on the available accessibility services and know how to respond to specific needs (e.g. guiding visually impaired guests, communicating with non-verbal attendees).

Are there sensory considerations (e.g. echo, lighting, mirrors, noise)?

Location of regular and accessible toilets.

E. Safety & Evacuation

Are there interactive components during the event? Who initiates them?
Will there be any flashing lights, strobe effects, or loud noises?
Will there be any special effects (e.g. smoke, pyrotechnics)?
Is there a clear evacuation plan? Are evacuation routes accessible?
Location of first aid/medical assistance point.
Are there notification systems for evacuations (e.g. visual alarms, tactile alerts)?

F. Additional Accessibility Tools

Is there a quiet room available? Where is it located?
Is there a designated area for assistance dogs (e.g. water bowl, rest area, waste disposal)?

What transport options are available after the event?
Are there changes in public transport service at night?
Will crowd size impact exit procedures?
