Prospective Mentee Shows Interest
Channels
Pre-Identified: mentees that have been identified by the internal team as ideal candidates will likely already have a pre-existing relationship (through an RC group or connected network), but who have not already shown interest or knowledge of the program. In this scenario, there should outreach to the prospective mentee by the program manager, ideally through a warm introduction by the individual who identified the prospective candidate. After the fit has been established, they can be treated as the same as a referral.
Referrals: a referral is a prospective mentee who has heard about the program by a mentor, mentee or other means and who has expressed interest in learning more.
Inbound: these will tend to be individuals who (eventually) won’t have a direct connection to someone in the program, but rather hears about it via other mediums and inquires about joining via the website, social media, or other non-human means.
Contact information collected: Regardless of acquisition method, we will collect their email and phone number for follow up.
Thanks for Interest Email
After a prospective mentee has shown interest, they should receive an email thanking them for their interest and informing them of the next steps.
The email should be catered to how they were introduced to the program (pre-identified, referral, or inbound) since those main channels will likely require different amounts of instruction and context.
CTA: the call-to-action is to set up a screening phone call with the program manager.
If there is no response to the email within 2 business days, then a phone call/voicemail and text should be sent.
Screening Phone Call
There will be a screening phone call scheduled after the initial outreach to share more about the Timothy Collective and learning about the prospective mentee.

Decision Email
Acceptance:
Phone call: If it’s decided that the prospective mentee would be a good fit for the program, then an acceptance phone call is made to the candidate. If the candidate doesn’t pickup, a congratulatory voicemail should be left.
Email: an email is sent after the phone call or voicemail is left sharing next steps.

Mentor Interviews

Mentor Research: Mentees will be instructed to navigate to the Timothy Collective website to browse the mentor profiles.
Interview Selections: Mentees will select 1-3 mentors to have 15-30 minute phone/virtual video interviews with.
Interview Introductions: The program director will be the one to formally introduce the mentees and mentors. The 3rd party introduction is important to:
Ensure the introduction is made in a timely matter
Keep a pulse on the communication and any delays so that they can follow up on either side if need be (to kick the dirt and keep things moving)
Provide a “safe” first impression and setting standard expectations (mentees may not know the appropriate way to reach out the mentors without instruction, so these initial guardrails can preserve the potential relationship and not have unintended snafus).
Mentee Coaching: Before the interviews, the program director will have a call with the mentees to walk them through best practice for the interviews and set proper expectations, while also offering themselves as a resource throughout the whole process.
Interview: Interviews are conducted between mentee and mentor. An interview script can be provided if need be, but it shouldn’t be required or held to a single conversation track.
Interview Feedback: The program director will follow up over the phone with the mentees to hear their feedback from the interviews, address any concerns, and share next steps.
Decisions & Matching: Once feedback is collected by the mentors and mentees, a mentorship match will be made and they’ll be prompted to set up their 3 beer/coffee in-person meetings.
