Give more to your patients
In this section, we will walk you through the Patient Menu functionality and features.

Pipeline

The Pipeline is the go-to screen for staff that handles patients. This page contains summary of all the patient’s activity in the clinic, and functions like a CRM in sales in order for you to understand more about patient needs and to provide them with the correct services. You will see 4 stages in the pipeline: Customer Lead, In Appointment, Finished Treatment, and Offering. Let’s have a look on each one of them.

Create New Lead

If there is a person calling to the clinic telling you their issues and ask if the doctor can treat them, it means that you have a new lead on a patient. In order to record this, you can click on Create New Lead button. Select their name from the Patient List. If the person’s name doesn’t come out in the list, then it is a new patient and you will be prompted to add a new patient data. After that you can type in their issues or whatever the person’s inquiry is in the Patient Inquiry field. The Status field is for selecting the pipeline stages that the patient is in. By default, if the patient haven’t had any appointment scheduled, you should select Customer Lead status. This way the card will be created under Customer Lead stage and you will need to come back to the patient with their inquiry before they created an appointment.
If a patient in this stage is ready to make an appointment, you should open the card details and click on Set Appoinment button. You will be directed to Create new appointment form.

In Appointment

Whenever a lead is ready to make an appointment, or you just created new appointment directly from Appointment menu, a new card will be appeared in the In Appointment stage of the pipeline. This stage is directly linked with the appointment in the calendar.

Here, you can see and update the appointment status of the patients. If the status shown in the button on the card is To Be Confirmed, then you will need to send a reminder to the patient about their scheduled appointment. After you send a reminder to the patient, you can click on the Message button on the card to mark that you already send the reminder to the patient. If the patient confirms their attendance, you can change the status by clicking the status button and choose Confirmed Attending status. This will update the status both in the Pipeline and the Calendar. Editing and deleting the appointment will also update related cards in this pipeline stage.

Finished Treatment

If the patient has completed their treatment, their card is placed in Finished Treatment stage of the pipeline.

Here you can schedule follow-up treatment or monitoring appointment by clicking on Create Appointment button in the card details. You will be directed to create new appointment.
If the patient is completely finished their treatment, you can offer them with additional treatment to enhance their dental health. You can write the offering you gave to the patient in the Offering note, and then click on the Set Offering button. This way, you will also move the card to the next stage of the pipeline which is the Offering stage.

Offering

All the patients that you sent an offering will be shown on this pipeline stage. You can follow-up the patient based on the offering that you sent to them.

If the patient agree with the offering, you can create new appointment directly by clicking on Create Appointment button in the card details. You will be directed to create new appointment for the patient.

Patients

On Patients menu you will see Patient List of all the patient that have contacted you or have been treated by the doctor in the clinic.

You can add new patient by clicking on Create New button on top right hand corner and fill out patient’s data. There are few required fields that need to be filled when recording a patient data. But the more complete you filled all the patient data, the more insight we can get from the patient. Thus, giving us the chance to give more personalized service to the patient.
For first time patient, medical history will be filled by the doctor when first meeting with the patient. You can also Edit patient data, including the medical history, directly by clicking on the Edit (pencil) button on the selected patient.
There is also a search bar to make it easier for you to see their data and easily find out about that patient’s detail.
