Chapter: 02. File Management Organisation Of Data

Sorting by ‘Type’ arranges files and folders according to their specific file format or category, grouping similar types together.
A drive is a storage box inside the computer, usually a partition of the hard disk, where all files and folders are kept.
You initiate it by clicking on the arrow button in the Notification Area on the Taskbar and then selecting the Safely Remove Hardware icon.
An MP4 file is typically used to store multimedia content, including audio, video, movies, and still images.
The purpose of a file extension is to identify the type or format of a file, which helps the operating system recognize and open the file with the appropriate software.
To move files from a pen drive, you use the ‘Cut’ command instead of ‘Copy’; otherwise, the steps to paste and remove the pen drive safely remain the same.
The question mark (?) wildcard can be used as in C?M to search for files or folders with three characters, where the first is ‘C’ and the third is ‘M’, such as “CAM” or “C2M”.
The .pptx file format is commonly used for presentations created in Microsoft PowerPoint.
When moving a file, the original is removed from its location and placed in the new one, whereas when copying, the original remains and a duplicate is made.
Another method to sort files and folders is by right-clicking in the folder window and selecting the preferred sorting option from the shortcut menu’s ‘Sort by’ submenu.
The primary function of a folder is to group and save files that belong to the same category, helping to organize data.
Tables in an XLSX file are stored in the form of rows and columns, along with other elements like images, charts, pictures, and formulas.
The JPEG format stores image files.
The search term comp*.xlsx would search for all Microsoft Excel files (.xlsx) whose names begin with the characters ‘comp’ followed by any string of other characters.
When copying a file, the original file remains at its initial location, and a duplicate is created in the new location.
Two common storage devices are CDs and pen drives.
You can use the search box if you remember the complete or partial file/folder name, the date of last modification, or the file extension.
Using multiple applications means working with or having several different software programs open simultaneously, allowing for multitasking.
The hard disk of a computer is typically found inside the CPU box.
Two other ways are using the ‘Copy to’ or ‘Move to’ commands from the Organize group of the Home tab, or by right-clicking on the file/folder and using the shortcut menu.
Want to print your doc?
This is not the way.
Try clicking the ⋯ next to your doc name or using a keyboard shortcut (
CtrlP
) instead.
