University Instrument and Locker Check-Out Form

MUSIC LOCKERS & ORCHESTRA INVENTORIES FAQ

ORCHESTRA INVENTORY MANAGER (OIM):

Ethan Schneider ()

HOW DO I REQUEST AN INSTRUMENT LOCKER?

Prior to the start of the semester, complete the CUI Instrument Check-Out Form online
(see below). The OIM will assign a suitably sized locker and email you with the locker #
and lock combination. Do not share this combination with anyone. Please note, lockers
are limited, assigned first come, first served and only available for storing
instruments that are currently being used for an ensemble, techniques class, or private
lessons.

WHAT GOES IN MY LOCKER?

Your instrument and your music. Mutes, stands, or other instrument equipment may be stored in the locker if space allows.

CAN I STORE MULTIPLE INSTRUMENTS IN THE SAME LOCKER?

Instruments should be stored in their assigned locker. Multiple instruments may be stored in the locker if space allows, but instruments must be returned to their assigned lockers by the end of the semester.

IF I PLAY MULTIPLE INSTRUMENTS, CAN I GET LOCKERS NEXT TO EACH OTHER?

Probably not. Instruments are assigned to lockers based upon their size. The OIM will assign a suitably sized locker for each instrument.

WHAT DOESN’T GO IN MY LOCKER?

No trash or food is permitted in instrument lockers at any time. If discovered, student will be charged a $5 cleaning fee. Students will have one week to pay this fine, or it will double.

IS IT ‘MY’ LOCKER?

No, instrument lockers are not your private property. You are granted access to a university-owned locker, and authorized university workers (including designated student workers) may access the locker at any time.

WHAT IS REQUIRED OF STUDENTS WITH ASSIGNED LOCKERS?

1. Lockers must be kept clean.
2. Assigned combination locks must secure the locker door when the instrument is in the locker. To avoid loss of university resources (including locks), please keep locked at all times. Locks that are noticed to be unlocked should be latched by whomever notices. There is a $10 fee for lost locks.

HOW DO I REQUEST A CUI INSTRUMENT?

Prior to the start of the semester, complete the CUI Instrument Check-Out Form online
(see below). The OIM will email you the instrument label #, locker # and lock combination.
You must return the instrument at the end of the semester, unless the check-out is
renewed by completing a new CUI Instrument Check-Out Form. Prior to the end of the
year, there will be an inventory and inspection of all university instruments.

WHAT IS REQUIRED OF STUDENTS USING UNIVERSITY INSTRUMENTS?

1. Keep the instrument sanitary. No food within 10 minutes of starting to play.
2. Keep the instrument clean and polished.
3. Do not operate the instrument in any way that may cause permanent damage,
such as forcing non-oiled valves to play instead of taking time to oil them and
keep them lubricated or bending keys to get them to seal. Daily care and
cleaning will mitigate most repairs.
4. Keep the instrument protected in a case as much as possible. This includes
during breaks from playing. Do no leave the instrument unattended on chairs or
stands at any time. Chairs and stands are often moved between ensembles,
increasing the likelihood of catastrophic damage to your instrument. Also, keep
the case latched – only latching one or two latches will damage the case over
time and endanger the instrument.
5. Contact OIM if any maintenance is needed; but make every effort to fix small
issues yourself. (No excessive force required, or DIY projects. If something is not
working as well as it did and you have questions on how to fix it, report to the
OIM.) CUI takes pride in its instrument inventory and invests significant funds in
keeping them in good working order. Repair costs due to student negligence will
be charged to their university account.
6. Provide your own reeds. In many cases, brass players should provide their own
mouthpiece. Students are expected to own and regularly use maintenance items
for your specific instrument, such as value oil, slide grease (be sure to wipe off
old oil and grease before adding more), polishing/cleaning cloth(s), swabs, etc.
7. Keep the instrument in its designated locker when not in use.
8. When the semester ends, the instrument is subject to inspection to ensure the
items above were adhered to.
9. Any violation of the above will result in fine ranging from $5 up to the cost of the
repair.
