🧪 VA Assignment Process: 3 Phases

PHASE 1: SELECTION – Identify Top 3 Candidates

🎯 Goal:

Shortlist the 3 most suitable candidates based on availability, skills, personality, and compatibility with client needs.

✅ Step-by-Step:

Review Client Requirements
Clarify tools, hours, personality fit, tasks required.
Input this into the Client Overview section of the template.
Populate VA Matching Matrix
Rate available VAs (1–5) on:
Availability
Email & Call Handling
Skills
Compatibility
Personality Fit
Loyalty / Adherence to SOPs
Shortlist Top 3 VAs
Based on total scores and comments
Consider soft qualities like responsiveness and reliability
Add shortlisted names to the “Shortlisted VAs” section

PHASE 2: TESTING – Live Skill Assessment via Zoom

🎯 Goal:

Simulate real client tasks and observe how each candidate performs under time pressure.

✅ Step-by-Step:

Schedule Individual Zoom Sessions
All 3 VAs are booked for one-on-one test calls (15–30 mins each)
Prepare Task Materials
Based on client’s top-priority task(s):
Mock inbox for email handling
Sample calendar
Research assignment for lead gen, etc.
Conduct Live Test
Explain scenario briefly
Start timer (strictly enforce time limit)
Observe how VA performs in real-time (screen share recommended)
Fill Scoring Template During Call
Score:
Task Accuracy (25%)
Time Management (20%)
Tool Proficiency (20%)
Communication (15%)
Instruction Following (20%)

PHASE 3: EVALUATION – Choose Best-Fit VA

🎯 Goal:

Use objective results to determine the most client-appropriate VA.

✅ Step-by-Step:

Compare All 3 Test Scores
Use weighted scoring system
Calculate Total Score (out of 100%)
Hold Internal Debrief
Discuss soft observations: stress handling, confidence, initiative
Flag any red flags (tech issues, poor communication, etc.)
Select the Final VA
Choose the VA with the best combination of:
High score
Best alignment with client’s expectations
Notify Selected VA
Confirm their availability
Share onboarding details and expected start date
Inform Other Candidates
Provide polite closure or hold them in the reserve pool
