Reassignment Process

Check the reassignment and assignment channel in slack for accounts that need to be reassigned.
Check the schedule of the current VA working on the account and the VA that is reassigned in the account, make sure the reassigned VA is open/available during the same hours of the account that needs to be reassigned.
Check the Process documentation of the account that needs to be reassigned. Double check this, make sure it is updated and complete. Share the Process document to the reassigned VA.
Schedule the shadowing in the reassigned VA’s schedule
Inform the VA’s involved, create a group channel with the internal team.
Request for an intro video from the reassigned VA if needed. Instructions should be:
Hi Van. Please create an intro video today. I will post a sample here. The intro should be about your skillset only, less than 2 minutes, couple of reminders:
do not mention any other company names aside from Uplevel
do not mention your age
do not mention you are new to Uplevel
Send instructions in the channel.
Sample message: Hi @Rosemary, @Theresa here will shadow you for Centerpeace Foundation this week. Please let her get used to with all your tasks with this account. As always, please be on a call and share your screen as well. Thank you! (cc @Metch @Daisy)
On the admin channel of the account, request activity and feedback daily from the current VA of the account. This is required to be submitted daily.
Shadowing should cover a minimum of 3 days and a maximum of 5. The last day should be a hands on day, meaning the reassigned VA should be able to try the platforms/apps needed for the account.
Once shadowing is done, collate all feedback and also get insight from the current VA if the reassigned VA is ready to take over the account.
Share the intro video to the internal team for review.
Once turnover is completed, make sure we have notified both VA’s. If for some cases this is only to cover for a leave, leave should be less than a week if we will return this account to the first VA but will be completely reassigned to the new VA if more than 2 weeks.
Make sure we inform the reassigned VA to create her own Process documentation from here on.
