Share Docs with Students

How to SAFELY share your CODA material with students

Must read:

You need follow the following process to securely share the information with students.

If you do not do the following steps students can possibly:
Copy your course material
Edit your course material
Share your course material with anyone who has an internet connection

Step 1 - Make two separate CODA docs

Source Doc - This is the workspace for you and your teacher team
Sync Doc - This document will link to a part of your workspace that you will later share with your students

Step 2 - Structure your source doc

One SINGLE page with Subpages will get synced to students.
All other pages can be a workspace for you and your team to work in.
Once you want to make something visible to students you simply drag and drop it into the page synced to students

Step 3 - Create a Sync page in the sync doc

Create a page in the empty Sync Doc using the “New sync page” option ​

Select your source doc ​

Select the Page we earlier created to share with students Enable Include subpages & hit “Create” ​

DO NOT SHARE ENTIRE DOC
You should now see the page with all its subpages from your source doc inside your sync doc Click on the 3 dots of the main sync page and click Sync page options. ​

Last but important step Set “who can access this sync page?” to “everyone in this doc”. ​

Forgetting this last step will make people you share this Doc with unable to see the page.

Step 4 - Invite students to view your Sync doc

Exactly follow these steps

Make sure students can only access the sync doc through their official Howest account.
Ask students to sign up to CODA for free using their official Howest email account here: ​Students not using their official Howest accounts wont have access to CODA documents. Note: There is no need for students to get PRO accounts.
Students can easily sign up to CODA by picking the Microsoft option. Simply signing in to your Howest account will instantly log you in to CODA ​

Get a list of your courses student emails.
You can easily get such a list by going to your Leho course → Grades

Go to Export and Export Entire Gradebook

Open the CSV file with excel and expand the SIS Login ID Collumn, here you can find all the people who have officially enrolled to your LEHO course. ​

Coda can only invite 30 people at a time. This “feature” is a bit tedious but doesn’t take long. If you for example have 300 students you need to the following 10 times:
Select 30 new email addresses in the Excel file and press CTRL+C ​

Go to your CODA Doc and click Share again ​

Under “Type names or emails...” press Ctrl+V
Make sure to set to “Can View” and turn “Notify People” OFF ​

You can now see everyone who is invited when pressing “share” again Here you can check if someone already has a CODA account or not as well: ​

Congratulations!
You have now shared your Doc ! Simply copy the link of your doc and share with students on Leho. If they created a CODA account with their official Howest email address they should be able to view your doc securely.

This is not the way.
Try clicking the ⋯ next to your doc name or using a keyboard shortcut (
CtrlP
) instead.
