Software we use for project tracking, invoicing, & billing
The current tool we use for job costing and tracking is Knowify (included is the following):
Contract Jobs
Shows ALL Jobs and what stages they are part of
Time Tracker (not currently being used)
Might use this feature at some point NA for current state
Purchases
This is where all open POs are
I.e subcontractor invoices, crane costs, etc.
Bills
This is where all open bills (subcontractors) are
Every Wednesday subcontractors send their weekly invoices which will get inputted into Knowify and create a open bill to be paid
Dashboard
This is what the dashboard of Knowify looks like & is broken down into the following
Contract Jobs
Time Tracker
Purchases
Bills
More
Invoices
Scheduling
Internal
Catalog
Quickbooks
Reports
Contract Jobs
Within contract jobs you are able to see all projects and this is where the majority of job costing and tracking is done
We are going to use Zimmerman ADU as our example
Summary
The items that are important here are the following
Contract Value
This what we are charging the customer
Total Cost Budget
This is what we are expecting our cost to be
Projected Profitability
What we are hoping to profit
Proposal
The proposal tab is what we are sending to the customer and what they see
The only importance of this is to understand what our pricing is to the end customer
Plan & Track - Budget Mode
From a Project Management one of the most important tab is the plan and track
This is where it shows what the estimated budget is for each task
Labor Field Direct Cost - $4,374.72
If we were doing this piece work we’d like to be below this price
Exterior Siding & Trim
$2,417.50
Plan & Track - Active Mode
This is where our true costs of what we’ve paid out is
In this example the committed cost is currently $0 - but as we beginning putting in the cost this will begin to get filled out and show us what our true cost is for this project
Submittals & RFI
The other two areas we use the plan & track for is;
Submittals
product data and descriptions
items we have to request to contractors
