Introduction to Reply, Reply All, CC, and BCC

Welcome to our Tuesday Tips: Communication series!


As part of your request to keep effective communications on everyone's mind, we will be sharing valuable tips and insights to help us all communicate more effectively with Tuesday Tips.

This week, we're kicking things off with a brief introduction to what you can expect from this series. We'll be covering a variety of topics, including email etiquette, website interaction, social media engagement, and more.

This week: Breaking down the differences between "Reply All," "Reply," CC (Carbon Copy), and BCC (Blind Carbon Copy) in email communications:
Reply All: *use sparingly* This option sends your response to the original sender as well as to all recipients listed in the email thread. It's useful when your response is relevant to everyone included in the conversation.

Reply: Choosing "Reply" sends your response only to the original sender of the email. It's appropriate when your message is meant for the sender's eyes only and doesn't need to involve others in the conversation.

CC (Carbon Copy): When you CC someone on an email, it means you're sending a copy of the email to them for their information only, but they're not directly involved in the conversation. Use CC when you want to keep someone informed about the discussion without requiring them to take any action.

BCC (Blind Carbon Copy): BCC is a valuable tool when you need to send emails to a large group of recipients, such as multiple departments within Oneida Nation of the Thames, without disclosing each recipient's email address to others. This is particularly useful for maintaining privacy and confidentiality, especially when dealing with sensitive information and to avoid unnecessary "Reply All's". Use BCC instead of TO: in most cases when emailing all Oneida Staff.  When using BCC and sending to all staff, type "This is sent to all Oneida Staff" at the top of your email.

Tips:
Think before hitting "Reply All": Consider whether all recipients really need to see your response. If it's only relevant to the original sender, use "Reply" instead.
Use CC and BCC sparingly: Only include recipients in CC and BCC if it's necessary for their involvement or information. Overuse can clutter inboxes and lead to confusion.
Double-check recipients: Type the message FIRST, then add recipients. Double-check the recipients listed in the "To," "CC," and "BCC" fields to ensure you're sending the message to the right people.
Be mindful of sensitive information: When using CC and BCC, consider whether any sensitive information is being shared and whether it's appropriate to include certain recipients.
Use BCC when sending emails to "All Oneida Staff" as much as possible.
