Behind the Scenes: Your Wedfuly Coordinator’s Role

The Wedfuly team and your on-site support person will log onto your wedding 60-90 minutes before your ceremony starts to set up all your A/V equipment and ensure everything is working perfectly. If your guests log on during this time, they will hang out in the virtual “waiting room.”

If you have chosen to hire Wedfuly as on-site support for your wedding, that person will arrive an hour and a half before your ceremony starts to begin setting up the A/V equipment.

About 30 minutes before the ceremony start time, your Wedfuly Coordinator will “open the doors” to your wedding, begin welcoming guests, and provide tech support as needed to ensure everyone can see and hear well. Next, Wedfuly will run and MC your wedding, acting as behind-the-scenes tech support and a concierge to your guests. We will manage muting and unmuting, change camera spotlights and angles, and play any selected media (music, videos, or slideshows). The Zoom chat will remain open for your guests to offer their reactions and best wishes, and you’ll receive the chat transcript (in text file format) after your wedding. We’ll also prompt your guests to sign your virtual guestbook and snap some pics in your virtual photo booth.

Wedfuly Wedding Structure

A Wedfuly wedding generally includes four main sections.

1. Prelude

The 30-minute period where guests have been admitted to your virtual wedding, but the ceremony hasn’t yet started. The doors are “open” during this time for your guests to join.
We will have some kind of media playing to greet or entertain your guests during the Prelude. We can keep it simple with a static welcome slide and music, create a slideshow of photos for you, or show a video or slideshow you create.

2. Ceremony

The part of the wedding that begins with the processional (going down the aisle) and ends with you being married!

3. Intermission

A quick break between your ceremony and reception, a chance to take a moment of excitement that you just got married and set up for your reception. Your on-site support person will be busy moving cameras around to capture the reception.
Many couples keep the Intermission simple and choose to show a static slide, while other will use this time in more fun and elaborate ways such as:
Creating a video that explains more of your love story or family history
Creating an additional slideshow of photos
Asking guests to provide brief “toast-like” well wishes (your Wedfuly Coordinator will cue them up, and this can be a fun keepsake for you since it will be included in the footage of your wedding)
Playing an interactive trivia game with prizes (to be mailed after the wedding)
Virtual cocktail hour - if you’re planning on taking a longer intermission for pictures or moving locations, using “breakout rooms” during intermission can be a nice way to give your guests some time to socialize. You’ll assign guests to virtual tables, and we’ll create private video rooms where they can hang out for a bit.

4. Reception

The virtual party that follows the Intermission—such as toasts, cake cutting, dances, etc. Virtual receptions don’t have to exactly mimic an in-person, traditional wedding reception. In fact, we highly encourage you to throw out the old wedding timeline and mix things up a bit. Virtual guests aren’t going to be able to hang around and entertain themselves like in-person guests can, so ensuring that you have activities during the full reception time is key.
Some Wedfuly couples choose to keep their reception short and sweet with limited interaction with their guests, while others go all out to make sure their guests are part of the action. We’re more than happy to support you either way.
