Tech & Equipment Guide

For Hosts of The Alabama Solution
Hosting a screening means handling the film securely and ensuring your venue is fully prepared. Please review and share this guide with your venue’s projectionist or AV manager.

1. Permissions & Security

Film provided only for your confirmed screening.
The film file cannot be shared, duplicated, or distributed.
All files must be permanently deleted after your screening.

2. File Formats & Delivery

The film team will provide one of the following:
High-Quality Digital File (.mp4 or .mov) MOST COMMON FORMAT
ProRes: highest quality, large file size (may lag via HDMI).
H.264: smaller, widely compatible.
Delivered via password-protected Frame.io link.
DCP (Digital Cinema Package)
Preferred for theaters with DCP capability.
Delivered via secure Aspera transfer.
Requires a KDM (Key Delivery Message).
⚠️ No physical drives (USB, CRU, hard drives). Delivery is digital only.

3. Host Checklist

Permissions & Security

completed (including media NDA signed) ☐ Film used only for confirmed screening ☐ Film deleted after event

File & Delivery

☐ Confirm format with our team (Digital or DCP) ☐ Download file securely (allow time for large downloads)

Tech Check (Required — 24+ hrs before event)

☐ Film plays smoothly (no lag/sync issues) ☐ Audio tested — clear and loud in all seats ☐ Picture looks correct — no distortion/color issues

Playback & Equipment

☐ Dedicated playback device (not multitasking) ☐ Hard-wired connection (HDMI/SDI), no wireless casting ☐ Disable screen savers, notifications, auto-updates

Audio Setup

☐ Amplified speakers (not projector audio) ☐ Back-of-room sound test for clarity

Projection Environment

☐ Room darkened enough for proper viewing ☐ Screen brightness and size fit audience ☐ Clear sight lines for all seats

Backup & Contingency

☐ Venue has backup plan if file won’t play ☐ Secondary device with lighter H.264 file ready ☐ Arrive early for quick re-check on event day

Accessibility

☐ Captioned version requested (if available) ☐ Assistive listening devices arranged (if venue provides)

After the Screening

☐ Permanently delete all files and temporary copies ☐ Share any tech feedback with our team

4. Common Issues to Avoid

Lagging/sync issues → Use hard-wired connections and test ahead.
Weak audio → Ensure external speakers, test volume in-room.
Washed-out image → Darken room, check screen brightness.
Last-minute issues → Download early, test at least 24 hrs before.
