How to Answer the Phone Guide

Purpose:

Since we dispatch for multiple companies (GrandsonService.com, GrandsonMovers.com, Houmily.com, and HeavenMovers.com), we keep phone greetings neutral and personal. This creates a consistent, friendly experience without confusion about which brand the caller reached.

Step-by-Step Phone Greeting Script:

Answer promptly: Pick up within 2-3 rings.
Use a neutral, personal greeting:
“Hi, this is Niccole.”
OR “Hi, thanks for calling Dispatch.”
Listen carefully to the caller:
Identify which company or service they are calling about by asking if unclear.
Ask what the inquiry or issue is.
Handle the call based on context:
If it’s a moving job, transfer or connect with HeavenMovers scheduling emails, team or dispatch.
If it’s cleaning or home services, check GrandsonService or GrandsonMovers schedules.
If unsure, take details and assure caller you’ll follow up promptly. (Ask if they’ve scheduled, deposit amount, etc.)
Confirm information clearly:
Confirm caller name, service requested, location, date/time preferences.
Repeat back key details to avoid errors.
Next steps:
If you can schedule or resolve immediately, proceed.
If follow-up needed, notify the correct internal team or supervisor.
Close politely:
“Thank you for calling, we’ll get back to you shortly.”
“Have a great day!”
