This Feature allows users to configure Email Automation and perform additional actions.
The email group is linked to specific countries for targeted student groups.
Follow these steps to manage Email Automation and actions:
1. Create Email Group → Use the menu to create and save new Email group.
2. Update → Edit existing Email group information using the menu options.
3. Publish/Unpublish →Toggle between Published and Unpublished status.
4. Delete → Permanently remove using the delete option.
5. Email Template → Add Email Templates for each Email group.
Pre-Conditions to Access the Email Automation Management Menu
To access the required menu, ensure the following steps are completed:
1. Open the Application
Launch the application in the recommended browser. 2. Log in to the Application
Enter your credentials to log in successfully. 3. Navigate to the Email Automation Menu
Click on the "Configuration" option in the navigation bar. Click on the "Email Automation" option in the navigation bar. Once these steps are followed, you can access the menu to manage Email Automation details.
Create Email Group
Click "Create Email Group"
Locate and click the "Create Email Group" button as shown in the screenshot. Page layout:
Required Fields for Creating Email Group
When creating a Email Group, ensure the following fields are completed:
1. Group Name
Enter the Email Group Name.(for example →Group Name: New Student Welcome Series) 2. Start Date
The date when the automated emails will begin.(for example →Start Date: 1st November 2024) 3. Period
The frequency at which emails will be sent (e.g., Daily, Weekly, Fortnightly, Monthly). 4. Max Frequency
Choose the preferred frequency to send email for described period. For instance ‘10’. This will give 10 emails to be sent in interval of every 3 days. 5. Country
Selected single or multiple targeted countries to whom mail will be sent. Example:
Group Name: New Student Welcome Series Mapped Countries: Nepal, India Select all countries to sent mail for all active student. Ensure all required fields are filled before saving the Email Group.
Steps to Add an Email Group
1. Open Create Email Group Page
Click on "Email Automation" in the navigation menu. Select the "Create Email Group" button to access the "Create Email Group Details" page. 2. Enter Email Group Information
Fill in all the required fields:
3.Repeat Email
Select the appropriate offer Repeat Email, where 'Yes' = the same email will be sent on every frequency cycle. 'No' = Different email template will be required for each cycle.
4. Save the Email Group
Click "Save" to add the Email Group details successfully. 5. Save and Create new template
Click “Save and Create new Template” to add email group and move to email template list page. Email Automation
After saving Email Automation, the details will appear in the Email Automation Grid, as shown in the screenshot below.
In grid user can view Action column with following action as shown in screenshot below:
User can click on button present in the "Action" column and select "Update" from the options available. Select the Email group you want to modify and click on update button. Update Email Group Details
Modify the details in the available fields as needed (e.g., Group name, start date, period, max frequency, country). Update the required values & click on Save button.
Users can update “Email group” status after clicking on “Publish & Unpublished” “Action “column as shown in screenshot below.
Step to Change Email Group Status
Select the Email group you want to modify and click on Publish/ Unpublish button. Confirmation message is seen on clicking on Publish / Unpublished button as shown in screenshot Above. Click on Publish/ Unpublish button to change the Email group status. On click on “Publish” & “Unpublish” button, email group status is changed to “Published” & “Unpublished” as shown in screenshot below. Email Group
Users can delete “Email Group” after clicking on “Delete” button or form the “Action “column as shown in screenshot below.

Users can Manage Email Template after clicking on “Manage Email Template” “Action “column as shown in screenshot below.
Example: For a non-repetitive “NO”, monthly frequency:
User is allowed to add email template upto max number of frequency as shown in screenshot below:
Email Template
The details will appear in the Email Template List, as shown in the screenshot below.

Click on Action button ,user can add email template as shown in the screenshot.

Required Fields for Creating Email Template
When creating a Email Template, ensure the following fields are completed:
1. Subject
Enter the Subject name of the email template 2. Body
Write the main Body of the Email template. Ensure all required fields are filled before saving the Email Template.
Steps to Add an Email Template
1. Enter Email Template Information
Fill in all the required fields: 2. Email Header and Email footer are optional
3. Save the Email Template
Click "Save" to add the Email Template successfully. 4. User can add series of email templates by repeating above 1-3 steps.
In grid user can view Action column with following action button as shown in screenshot below:
User can Update Email template By clicking on Edit Email Template button as shown in screenshot below: Update Email Template

Preview
Users can Preview “Email Template” after clicking on “Preview” Icon button as shown in screenshot below.
After adding Email Group and Email Template, Email will be sent to the student according to the Schedule date every 24 hours midnight.
Example : For Repetitive “YES”, Weekly Frequency:
User is allowed to add only one email template as shown in screenshot below:
The details will appear in the Email Template List, as shown in the screenshot below.

Add all the required field and click on “Save” button to save email template.
After adding Email Group and Email Template for repeated email , Email will be sent to the student according to the Schedule date every 24 hours midnight.
