Interim payment system

Flexibility that grows with you – payments are based on your actual service usage over time, reviewed every 3 or 6 months. The longer we work together, the more precise and efficient your investment becomes!
The interim payment system is designed to offer flexibility and fairness in billing, based on the average amount of service provided over a set period. The system assesses the workload and service delivery over a maximum of six months, with payments being calculated twice a year. Here's how it works:
Initial Payment Period (First 3 Months):
Services are delivered over an initial period of 3 months.
During this time, payments are made through a prepaid package system.
After these 3 months, the average service cost is calculated based on the actual time and work delivered. This average becomes the basis for future payments.
Subsequent Payment Period (3 to 6 Months):
After the initial 3-month period, the system extends into a new 3-month cycle, making it a total of 6 months.
At the end of this second 3-month period, the cost is recalculated, again based on the actual time spent on service delivery.
6 months is the maximum period for reassessment. The average of this 6-month period is used to set the payment rate moving forward.
Biannual Payment Assessment:
Once the initial 6 months of service delivery have been assessed, the payment will be recalculated twice a year based on the average workload of the past 6 months.
This ensures that the payment is continuously adjusted to reflect the actual time and effort spent on service delivery.
Flexible Assessment Options:
The system can also calculate the average cost using shorter periods of 3 or 4 months to accommodate fluctuating workloads or if services are provided for less than 6 months.
In such cases, the payment will be based on the rounded average of those shorter periods.

Pay-as-you-go system

Flexibility that adapts to your project urgency – payments are based on confirmed task durations with variable rates depending on urgency levels. A secure deposit system ensures smooth ongoing collaboration while maintaining payment security.
The Pay-as-you-go system provides flexibility in task management and fair billing based on urgency levels and confirmed task durations. The system operates on a deposit basis and adapts rates according to project priorities. Here's how it works:
Initial Deposit and Security:
Required deposit amount is calculated as half of the average work volume from the past 3 months
Minimum deposit amount is $1,000 regardless of work volume
The deposit serves as payment security for delivered services
Deposit can be refunded upon request:
Refund processing typically takes up to one week
Exact refund timeline is subject to discussion
A minimum deposit balance of $1,000 must be maintained at all times
Task Classification and Rates:
All work is time-based with duration proposed and confirmed through voting system
Three urgency levels with specific rates:
Low Urgency: 80% of the normal hourly rate – $32/hour (flexible or no strict deadline)
Medium Urgency: 100% of the normal hourly rate – $40/hour (confirmed deadline)
High Urgency: 150% of the normal hourly rate – $60/hour (urgent deadline affecting other projects)
Standard urgency level distribution:
Low Urgency: 50% of work
Medium Urgency: 35% of work
High Urgency: 15% of work
Rate review trigger:
If any urgency category changes by more than 10% from the standard distribution
New rates will be applied to the next period
Task Categories and Time Management:
Tasks Over 5 Hours:
Require formal confirmation of the agreed duration
Must have defined urgency level
Deadline requirement based on urgency level
Tasks Under 5 Hours:
Duration is declared as maximum time commitment
Subject to same time overrun reduction rules as larger tasks
Unclassified Work:
Any work not defined as a task before starting
Automatically categorized as under-5-hours task
Treated as having no deadline (low urgency rate applies)
Live Meetings:
All live meetings are billed from the deposit
Cannot have time projections or deadlines
Can be linked to tasks for tracking purposes
Rate Reductions and Adjustments:
Time Projection Violations (all urgency levels):
Up to 50% over projected time: Billed at 50% of standard rate
Beyond 50% over projected time: Billed at 25% of standard rate
Deadline Violations:
Medium Urgency Tasks:
Work done after deadline billed at 50% of standard rate
Can combine with time projection reductions
High Urgency Tasks:
Entire task time billed at low urgency rate ($30/hour) if deadline missed
Time projection reductions still apply if relevant
Payment Processing:
All work is billed against the deposit
Payments are scheduled bi-weekly:
First payment window: Between 13th and 16th of each month
Second payment window: Between 27th and last day of each month
New payments are triggered when remaining deposit approaches minimum threshold
Deposit requires periodic replenishment to maintain minimum balance
6. System Term and Termination:
Either party may exit the system at any time
Current terms and conditions remain in effect until the end of the ongoing payment period
Deposit refund process will be initiated upon termination request
