Who is Your Hiring Manager (HM)?
Your Hiring Manager (HM) is the person responsible for overseeing your hiring process and ensuring a smooth transition into your role. They will be your main point of contact for job expectations, training, and support as you get started. Your HM will guide you through your onboarding, schedule key meetings, and help you integrate into your team.
( note: Your HM may also be your department manager is some cases )
Who is the Onboarding Coordinator?
The Onboarding Coordinator (OC) is the person responsible for ensuring your onboarding process runs smoothly. They help set up your accounts, provide access to essential tools, and coordinate key onboarding steps. They also ensures that the HM has all necessary info and assistance in setting up before you step into your new role.
Who is Your On-boarding Buddy?
Your Onboarding Buddy is a trusted and experienced team member who will help you while you go through various courses and set up your platforms. Think of them as your go-to person for any questions about company culture, processes, or day-to-day tasks. Your Buddy is here to make your onboarding smoother and help you feel comfortable as you get started at WebLife!
New Hire onboarding Flow
PHASE 1: Pre-Onboarding (Before Start Date)
1️⃣ Offer Acceptance / Contract
Review and accept the offer letter. Hiring Manager (HM) Makes an Onboarding Request via the Recruitment Board ———————————-— General Onboarding Process initiates—————————————————
2️⃣ Set up Part I - Welcome/ Company Email Invite ( 2-3 days before day 1)
New Hire will receive an email with: Instructions for setting up your company email. Links to required forms & pre-onboarding tasks. ( New hire details, etc..) Guide to Handoff Prep that includes (New Hire Homepage elements) Inquiry of dept. specific app setup requests 3️⃣ Set up Part II - Onboarding Prep (1-2 days before day 1)
PHASE 2: Onboarding (Day 1 - 3)
✅ Day 1: Welcome & Setup
First Onboarding Call: Attendees - New hire, OC, Labs Onboarding Buddy Review Access to Companywide apps & Accounts: Review your Member Homepage with key links, training materials, and company policies. Intro to Zoho Learn courses ✅ Days 2: Independent Training + Buddy Support
Complete Zoho Training: Follow the provided Zoho training modules. Buddy Check-In: The assigned onboarding buddy will reach out for a check-in to answer any questions or offer support. Buddy will be provided a checklist of items to check off / provide insight and guidance on . HM is notified of the wrap-up of general onboarding ( New hire 1:1 with HM will be set up by day 3 at the latest). ✅ Day 3: Final Onboarding
Wrap up any remaining onboarding steps with the team. New hire receives the onboarding success survey to provide feedback ———————————-— General Onboarding Process complete —————————————————
PHASE 3: Department Handoff ( HM)
✅ Department Training: Attend training specific to your role and department.
✅ Evaluation & Progress Review: Your manager will check in to discuss your progress and next steps.

FAQS
How long is the onboarding process?
For full-time hires, onboarding is estimated to take 3 days. However, in some cases, the duration may vary. If adjustments are needed, the Hiring Manager (HM) will receive an estimate and updates on when general training is complete.
On Days 2-3, new hires will complete independent training with buddy support available if needed.
How do I attend my Day 1 call?
You will receive an invite to Roam, along with other platform invitations, via your workspace email. However, to ensure you don’t miss it, the invite will also be sent to your personal email.
In case you haven’t been able to set up your logins before the call, you can still access the invite from your personal email and join the meeting.
What documents do I need to complete before my first day?
You will receive an email with your Day 1 onboarding invite before your start date. This email will contain all the necessary details for your first day. While you wait for onboarding, you can begin setting up your apps, accept any invitations, and check your email for meeting schedule invites to prepare ahead of time.
Who should I contact if I have issues with my account setup?
If you encounter any issues with your account setup, please feel free to reach out to the Onboarding Coordinator, who will be sending the official onboarding communications.
What is the purpose of the Member Homepage?
Your Member Homepage is your go-to document for everything related to your onboarding and ongoing resources as an employee. Both you and your manager will have access to this document. It will only be shared with you once everything is set up. You may need to sign in to CODA through an invite first and then locate the invite for your homepage in your email.
What should I do if I have trouble accessing companywide apps or training materials?
Your Onboarding Buddy is available to assist with any questions or issues you might have. Feel free to reach out to them after Day 1 if you experience any difficulties with your apps or training materials.
Questions on company policies.
Any existing company policies will be linked to your Member Homepage. If you are unable to find specific policy information during onboarding, you can directly reach out to your Onboarding Buddy, who will provide the necessary details.
After the handoff to your department, you can contact your Department Manager for any policy-related inquiries.

What happens during the handoff?
Typically, the day before completion, your Onboarding Buddy will conduct a raincheck to estimate progress and provide an update to the Hiring Manager.
Your 1:1 meeting with your Department Manager will be scheduled after your completion date to ensure a smooth handoff. Both you and your Hiring Manager will be informed in advance of when the transition will take place.
