1. Website Visit (Hosted on WordPress)

Users land on course pages or other content like blogs, quiz, webinars.

2. Lead Generation (Multiple Disconnected Entry Points)

Quiz (exports sheet, sent to Zoho manually)
Website Inquiry Forms → Zoho CRM - automatic
Webinar Signups via Zoom → Zoho - manual
“Apply” Button → Triggers email to team + data to Zoho
Workshop Signup → Redirects to MBO (MindBodyOnline) payment page
Direct Emails to admissions@keralaayurveda.us - manual
Phone Calls → Manually added to Zoho

3. Application Review (Manual)

Kavitha/Suzanne manually check if applicant fits course requirements (using an internal checklist)
Email sent manually to accepted applicants
Rejected applicants are either ignored or replied to via email - rejection email should include the nudge to the courses the applicants can take - on completion of which they will be eligible for the course they applied

4. Enrollment via Waiverking

Student clicks on link → taken to Waiverking
Fills out:
Personal Info
Signs documents
Enters credit card info (for MBO)

5. Payment & System Sync

Payment processed via MBO (not on website)
Auto-email with receipt + basic instructions
Student gets added to MBO database
Info manually exported/imported to Zoho
Student also tracked in Google Sheet

6. Student Tracker (Google Sheet)

Maintained by Suzanne & Kathy
Includes status of:
Applications
Docs signed
Payment
Onboarding
Past history

7. LMS Access & Onboarding

Every 30 days, Kathy creates new batch in TalentLMS
Sends batch-wise Zoom onboarding session link
Group Code for TalentLMS sent manually
Students register using the code and gain access
