Preparation
Make sure the puzzles are placed into the bag.
Make sure your stopwatch has enough battery for the entire event and showing 0:00:00.
Step One : Registration
Secure the amount of tables need for the teams.
Place the puzzles in the bag and on the tables to help keep others from sitting at the puzzle tables.
As teams arrive, check them in and have them write down their team name and contact info on your results sheet.
Fill in your name, the game date, and venue.
NOTE: You’ll add the finish times and place later.
Step Two: Starting The Event
When you’re ready to start the competition, walk round and alert teams that we are five minutes from starting.
Once everyone is in their seats, grab your stopwatch and camera.
Welcome everyone to the event. Remind them to get your attention when they are getting close to finishing.
If there are no questions and everyone is ready, have your camera and stopwatch ready.
Your next step is to countdown 3,2,1, GO! and on “GO!”, you’ll start the stopwatch while taking a photo of the start.
Step Three: Recording Finish Times
NOTE: Do Not Stop The Stopwatch Once Until All Teams Are Done.
When a team is getting close to finishing their puzzle, open up your camera and have the stopwatch ready. When the team puts their last piece in, take a photo of the stopwatch with the team in the back ground.
Record the place and finish time if you have time to look at the photo of the time. The finish time record on the Results Sheet will be referenced with the photos. You may just want to wait till the event it over to record times.
EXIF Data = Time Accuracy
Taking a photo of the stopwatch does two things. It takes a time stamp of when that team finishes. When comparing the start of the event to the time a team finishes, that guarantees an accurate time.
EXIF (Exchangeable Image File Format) data is metadata embedded in digital images that contains information about the image and its creation, including camera settings, date, time, and location
After The Event

In your email, include the amount of puzzles you have left over and any feedback from the event. Feel free to manual type out the results but it’s not necessary.
