Preparing Puzzles

Using a knife, slice the tape so players can easy open the box.
Stuff puzzle in puzzle bags.

Setup

Secure tables with “Reserved for Puzzle Buzz”
Prepare the table tops if needed. This means if a table is not flat AND solid. This means no cracks or slits like that of a picnic table.
Secure check in table and hang Puzzle Buzz check in sign.
Confirm the brightness of the ceiling lighting around the puzzle tables. Use clips lights on the tables if needed.
Confirm your stop watch has enough battery and have it ready.
Secure clip board, pen, and timing sheet.

Check In

Have the Eventbrite “Organizer” app ready.
Ask them for their team name and write it done on your results sheet. There is no particular order for the team names to be added to the sheet.
Once you have scanned the teams Eventbrite QR code, give them a Team Name Sheet and have them put their team name on it and then instruct them to place the sheet on their table. This will serve as a way for the team to reserve their table.
Encourage teams to order food and drinks but remind them to be done with food by the published start time. They can eat and puzzle if they want but might be a little tight on the table with all the pieces.

Timing

Teams can arrive anytime up to the start of the competition.
Start your opening announcements once every team has been checked in using the Eventbrite “Organizer” app.
Set a timer on your phone for 30 minutes. This will let you know that teams are getting close to finishing their puzzle. Securing the fast teams time is incredibly important.
You will collect finish times up to 90 minutes for 500 piece puzzles and 120 minutes for 1000 piece.
The average finish time for the first place teams in around 40 minutes for 500 piece and 80 minutes for 1000 piece.

Opening Announcements


Welcome, puzzle teams, to [VENUE]! We’re excited to kick off tonight’s event with a fun 500-piece puzzle.
Now, let’s talk puzzles…
Each team’s puzzle is in the black bag, and once I count down from 3, you’ll race to complete it. No peeking at the puzzle beforehand! I’ll come around to collect your bags once we start, and don’t worry—you get to keep the puzzle when you’re done.
The fastest team to finish wins, so timing is everything! Most teams usually finish in around 55 minutes, but I’ll be tracking times for up to 90 minutes. My most important job is recording your finish time, so when you’re close to completing your puzzle, make sure to get my attention to record the exact time. We’ll be posting your team names and finishing times on our website, Puzzle.buzz, so don’t forget to come up with a fun name for your group.
A quick heads-up: Please avoid peeking at other teams’ puzzles! It’s fine to glance and see how close they are, but let’s keep things fair.
Lastly, don’t forget to enjoy the night and support our amazing venue by ordering food and drinks while you puzzle!
