Automatic Reports

Overview

The Automated Reports feature allows users to configure reports that are generated and sent automatically at a set frequency. These reports are delivered as password-protected PDFs via email to specified recipients.

Step 1: Navigate to the Reports Tab

Log in to the Lab3 BillPay Dashboard.
Click "Reports" from the left sidebar menu.
Select the "Automated Reports" tab at the top.

Step 2: Configure a New Automated Report

Click "Configure New Automated Report" to open the setup form.
Fill in the required fields:
Report Name: Enter a name for the report (e.g., "Weekly Transactions").
Report Frequency: Choose how often the report should be generated (Daily, Weekly, Monthly).
Date Range: Select the transaction period that should be covered in the report.
Clinics: Select the clinic(s) for which the report applies.
Users: Choose specific users to filter transactions by staff members.
Amount Range: Set a minimum and maximum transaction amount if needed.
Payment Methods: Choose applicable payment methods (Visa, Mastercard, Cash, etc.).
Status: Select the transaction statuses (Paid, Pending, Failed, Refunded).
Email Recipients: Enter one or more email addresses to receive the report.
PDF Password: Set a secure password required to open the PDF report.

Step 3: Save and Activate the Automated Report

Once all fields are configured, click "Save Configuration".
The report will be added to the Saved Automated Reports section.
The report will now be automatically generated and sent based on the chosen frequency.

Step 4: Managing Saved Automated Reports

In the Saved Automated Reports section, users can:
View existing scheduled reports with details like:
Report Name
Clinic
Report Type (Daily, Weekly, Monthly)
Recipients (Emails receiving the report)
Filters applied
Next Run (Date of next scheduled report)
Last Run (Date of last executed report)
Status (Active/Inactive toggle)
Modify or Test an Automated Report
Click the "Test" button to manually trigger the report for verification.
Delete an Automated Report
Click the Trash Icon to remove an unwanted report.

Step 5: Receiving and Accessing the Report

Recipients will receive an email with the generated report attached as a PDF file.
To open the report, enter the PDF Password set during configuration.
Review the report for transaction details.
