I’m the Global Event Manager at Gaïa Hotels. As the name suggests, we aim to be as eco-friendly as possible while still delivering a premium experience. My mission is to position our brand as a top choice for high-end events.
We work with all kinds of clients—corporate, private, and non-profit. They book one or more spaces for their events, often with different services and options. Sometimes, a single event even spans multiple locations.
We’re proud of the experience we provide. But behind the scenes, things are still very manual. Most bookings come in by phone or email, and it takes a lot of time to check availability or answer questions about our venues.
That’s where you come in.
We need help bringing order to all of this.
First, our data is scattered everywhere. We use forms for new inquiries, store FAQs in Notion and Slack, and handle most client communication through email. We need to centralize everything into one clear, structured database.
Second, we care a lot about building a friendly relationship with our clients. But answering every email and checking multiple tools is time-consuming. We’d like a system that can automatically handle common requests, such as:
“Can I hire a street food chef for my event on April 13th?”
“I’d like to book a 30-seat conference room from March 29th to 31st, 2026.”
We also have a few additional needs :
Visualize staff schedules and assign team members to events
Automatically calculate booking prices and send the clients detailed estimations based on rooms, services, and staff
Manage multiple-room or multiple-location events
Manage materials stocks, replacement or repair requests
Collect clients feedbacks and implement a referral program
Automate attendance tracking for the clients who request it
One major gap today is pricing strategy. We don’t have a simple way to track competitors’ prices and adjust ours accordingly. This needs to happen daily, but we don’t have the team capacity to manage it manually.
Finally, while AI tools are helpful, we want to avoid juggling too many platforms. A simple interface where our team can create, edit, and manage bookings would make a big difference.
