General

Workflow #1
Objective: create a new task to the deal owner, once the funnel advances to another stage. This idea came from
@Gabriela Picolo
, so we can start to manage brokers through tasks. In Mortgage, this kind of approach worked out, since they would control if the deal had an opening task or not.
Moving Stages

Workflow #2
Objective: create a workflow to automatically send the lead to the "Followup" stage if there's a activity registered such as a meeting, call or e-mail. If it’s possible, fill out the field “WHICH TYPE OF CONTACT WAS MADE?” with the activity type.
Trigger: whenever a deal is in “Lead” stage and there’s an activity (meeting, call, email) registered at him.
Action 1: move the deal to “Followup” stage;
Action 2: fill-up the field “WHICH TYPE OF CONTACT WAS MADE?” with the activity type.
Leads Qualification
Workflow #1
Objective: create a new Deal in Mortgage Funnel whenever a RE deal fills up the conditions.
Conditions:
a) Payment Choice = “Mortgage”
b) There’s no active deal in Mortgage funnel related to this contact.
Trigger: whenever a deal has the field Payment Choice filled with Mortgage
Action 1: check if there’s other active deals in Mortgage funnel related to this specific contact.
Action 2: duplicate RE Deal, copying all relevant fields to a new deal in Mortgage funnel
Action 3: we need to guarantee that the owner from RE Deal, it’s related into Mortgage Deal, so we can keep track on comissions.

OBS1: we need also to guarantee that all info/updates in activities goes to the other deal’s timeline. We’ll need to deep dive on this, but maybe there’s an option through “contacts” object.
Workflow #2
Objective: create a new Deal in RE Funnel whenever a Mortgage deal fills up the conditions.
Conditions:
a) Help the customer find a property (REA Purchase BU)? = “Yes”
b) There’s no active deal in RE funnel related to this contact.
Trigger: whenever a deal in the Mortgage funnel has the field “Help the customer find a property (REA Purchase BU)” value to “yes”.
Action 1: check if there’s other active deals in RE Purchase Funnel related to this specific contact.
Action 2: duplicate Mortgage Deal, copying all relevant fields to a new deal in RE Purchase funnel
Action 3: we need to guarantee that the owner from Mortgage Deal, it’s related into RE Purchase funnel, so we can keep track on comissions. So we should storage this data in a field.

OBS1: we need also to guarantee that all info/updates in activities goes to the other deal’s timeline. We’ll need to deep dive on this, but maybe there’s an option through “contacts” object.
Workflow #3
Objective: if the deal has all required qualification fields completed, we should move it to the “Qualified Lead” stage. I don’t know if it’s possible, because then we’ll have different triggers.
Trigger: whenever all required fields of “Qualified Lead” stage are completed.
Action: moves the deal to “Qualified Lead” stage.
Registering Views

Workflow #1
Objective: create reminders whenever a deal avances to “Viewing Scheduled” stage:
Trigger: whenever a deal entered into “Viewing Scheduled” stage;
Action 1: filter if there’s already a “Meeting” activity in the deal (this could be problematic, i dont remember if it’s possible to do this in workflows, but i do know that in zapier its possible)
Action 2: create a new task, to deal owner, as a reminder for registering the meeting.

Task name: “Did you register the viewing?”
Task description: “It’s important to register viewings as “Meeting” in Hubspot. Before moving to another stage, check if you had registered the scheduled viewing.”
Workflow #2
Objective: create reminder whenever a meeting is created
Trigger: whenever a meeting is created in REA Purchase Funnel (we can also use “Type of Meeting” for filters once it’s created)
Action 1: create a new task, to deal owner, to due date to the same date as the meeting start time, with info to remind the agent to fullfil the outcome of the viewing

Task name: “Register the outcome of the scheduled meeting”
Task description: “Don’t forget to register the outcome of the viewing $meeting_name$ scheduled at $start_date$ .”
