I've had a couple of queries for a deal i'm working on -
1) If an Australian has international income, can he contribute to the superannuation funds voluntary? if yes, how much is the contribution?
2)Workers compensation insurance is a must for an employee in Aus. However, it's not mentioned in the employer contributions, can you explain why?
For the second question, my thoughts are that we cover this ourselves so it's not passed on to the customer, is that right?

Hi HR, Jen is just reviewing some comments in our CA that a prospect has made. She's responded to most but asked me to run this one past you first.
Jen's comment -
10.2 - (linked to CLause 8 in the Canada addendum) They have deleted 30 days notice. From a legal point of view this needs to go back in. HR and Finance will have their own views on the minimum period of notice we need to terminate, particularly for each territory or be able to provide clear commercial reasoning why we have it at 60 days (and I would appreciate such wording from them!), but I would be querying their removal of this.
If someone could give their thoughts on this, that would be great.

I'm speaking with a US company who have a contractor working for them in Canada (Quebex) that they would like to convert to a FTE. The employee is Indian but has a work permit for Canada until 2027, however she needs to be employed by a Canadian company. Are we able to support this worker until her work permit runs out in 2027?
The prospect has also sent a copy of her work permit for us to assess. I know we can't sponsor visas in Canada, so I wondered if we could support this due to the individual already having the permit.

I've asked this question to the compliance compass but as it has a few different ideas, I wanted to check if we've ever assessed this with our lawyers?
A prospect needs to hire in Romania indefinitely for 5 workers to begin with but also with more hires in the future. The 36 month limit presented a bit of a blocker as this is a long term project and they don't want to open an entity.
They've asked if they would be able to move the employees over to another temp agency after the 36 months or if there are any rules against this?
I know in places like France under the portage, this is not compliant, but how does it work with Romania?

Here is an overview of the positions they are looking to fill:
5 to 10 general mechanics – for the installation and maintenance of industrial equipment
5 to 10 high-altitude mechanics – for working at heights, including assembling metal structures and racks
10 to 15 industrial electricians – for installation and maintenance
1 occupational health and safety specialist
1 local translator – familiar with regional laws, customs, and regulations
1 team foreman – responsible for onsite supervision and communication with BYD

Hi team,
I sent over a calculation for Germany to a prospect. (I'll attach the calculation I sent in the thread).
The prospect has been speaking with other suppliers including Remo-first and comparing our costs and our employer contributions seem to be a lot higher than others. They've come back with some specific questions. Would someone mind answering these for me?
- The Supplementary health insurance contribution in your calculations seems not mandatory.
- The sick leave contribution seems to link to insurance plans offered by insurance companies, and is needed only when the employer employs less than 30 employees. It helps when the employee takes sick leaves and can cover part of the salary during the 6 weeks that we fully pay the employee. If that is the case, we need to know about the details of this insurance plan, as different vendors work with different insurance companies and ask for different proportion of the sick leave contribution. (Yours seem to be 2.23% and some vendors calculated 1.56%)
- I thought the employer contribution to the mandatory benefits should be a fixed proportion, but it seems not. For example, the statutory employer contribution to Krankenversicherung seems to be 7.3%, but your calculation is much lower, at around 4.39%. So are the other insurances.
- I learned that the contribution to Unfallversicherung should vary from industries. Your estimate is 1.3% while another vendor calculated 0.33%. I want to know which industry and rate you will use in our case. (This role is to sell nanoparticle analysis instruments to universities and biopharma without manual work)

Hi HR team,
Could I ask for some guidance with something?
I'm speaking with a prospect wanting to hire a new employee in Germany. They are also speaking with Remo-first who have told them that if they want to offer a new contract to the employee after the 18 months, they can use their other entity to do it, without a cooling off period. For example the customer could start with their US entity for 18 months and then start a new contract with their Singapore entity.
I have told them that this is not compliant with German law and provider a detailed explanation why. They have come back to me with this -
"About the 18 month's issue, we are just not sure whether different branches are regarded as the same client.
In addition, some suppliers who don't have entities in Germany suggest that they would sign with different outsourced partners to renew the contract. I am not sure if this is compliant."
Could I ask for some guidance on what to go back with to assure them that the way we are doing it is compliant and that Remo-first are giving them the wrong advice?

Hi Team,
I just got off a call with a staffing company looking to supply candidates for project-based or short-term work to their client across provinces in Canada.
My first question is can we support chain hiring in Canada? It says TBC in the country matrix.
If we do need to enquire with our lawyers about this - before we do that, I want to be transparent about the work:
These will be fixed term contracts ranging between 3-6 months and the candidates will be working part time hours. An average of around 15 hours per week.
Primary working location will be remote but they will be visiting clients from time to time.
The work is very niche as it's retirees and people who used to work for said companies or industries and now longer do for various reasons, but are asked to come back to projects - these could vary from mentoring, project managers etc, but it's people who already know the business.
Is this the type of work we can support or are there blockers due to the contract lengths and the chain hiring?
If I am to quote, I will ensure I am quoting our new fixed fee pricing plus offboarding fees given the duration of the contracts.
As a first step, could you let me know if this is the type of work we can support?

I had a in person pitch yesterday at a recruitment agencies office. They had some very specific questions, so I thought it would be easier to put them all in this message as they relate to the same prospect. Looping in the right teams for each question.
1) Netherlands - Are we NEN certified?
2) When doing work with Mexico and the US - i.e if the employee is in Mexico and the client is in the US - do we charge VAT?
3)Which city in Brazil does Wide have an entity in? how many cities do they support work in?
4) HR advisory - if we were to provide HR advisory to this agency for the Netherlands and Switzerland, would we be able to provide contracts for white labelling? The work would be hourly/temporary, but it's just the contracts they need rather than EOR.
If anyone would prefer different threads for each question, let me know. I just thought it would be easier to keep all the queries together.

Hi HR,
I am speaking with a potentially very high value customer.
The situation: They currently have entities in The Netherlands, The UK, Sweden, Belgium, France and Germany. They are a travel agency with offices and people working on the ground in these countries as sales agents.
They are looking at EOR for admin ease and peace of mind as they're finding managing these entities very difficult and time consuming.
They're looking at transferring employees over to us and potentially shutting down the entities.
I've suggested using us for The Netherlands, UK, Sweden and Belgium as they don't have restrictions, but that Germany and France should remain on direct employment. They are happy with that arrangement.
If we were to employ their workers in the Netherlands, UK, Sweden and Belgium, could we do this if the company already has entities there? The compliance compass says yes but I needed to check this with you first.
They may shut them down in future but they'll remain open while they potentially start this project in June/July.

Hi team,
I had a call today regarding Norway. I explained the rules regarding project work and the types of roles we can employ there. The prospects role is a very unique one. She is the company founder but her role is 'Director of Radical Futures and Regenerative Research'. She's sent me over a job description. Would someone mind assessing it to see if this is something we're able to support under our framework for a Norwegian contract?
About the Role
At ((Radical Imagination/Amplifying Landback)), I lead global transdisciplinary research and speculative design to envision and prototype climate-resilient, post-carbon societies. My work exists at the confluence of art, conservation, land stewardship, and cultural transformation—bridging the wild edges of imagination with grounded interventions in real ecosystems, communities, and futures.
I guide the development of a futures lab and land grant initiative focused on regenerative restoration, collective governance, and narrative infrastructure. Together with an evolving ecosystem of collaborators, I prototype frameworks for desirable, livable climate utopias—integrating storytelling, ecological restoration, and systems design into experimental models of the world to come.
Key Responsibilities
- Conduct futures-oriented research across climate science, cultural studies, ecological restoration, and design justice
- Co-develop the Radical Imagination land grant and its governance, conservation, funding and public engagement strategies
- Design and facilitate speculative design workshops, visioning sessions, and place-based gatherings
- Design cultural interventions and speculative campaigns that leverage imagination to question extractive systems and model regenerative alternatives (ex: Artists for a work free america)
- Translate interdisciplinary insights into accessible publications, films, prototypes, exhibitions, or digital tools
- Collaborate with artists, scientists, activists, and technologists to prototype scalable post-carbon infrastructures
- Build and steward partnerships with aligned organizations, networks, and land-based initiatives
It's also worth noting that this is a nonprofit, there is also a cofounder that will be on our board along with three other people all located in Vermont and funding is located in vermont. They will give out land grants and this person will make art, journalism, ephemera, books about the land projects that they gave the grant money to. As of now, they don't have an official title. But they do have a board, funding and a 501 C 3 Designation in the USA.
Could someone let me know if this is a role we can support in Norway?

Hey team,
I just had a call with a prospect looking to onboard an employee with usin Mexico and they had come questions regarding some of the lines on the payroll calculation.
1)Holiday allowance - 25% - Could you confirm what is this for?
2) Christmas Bonus - Same question, could you also confirm if this is equal to two weeks pay?
3) For any of the employer taxes/retirement funds or other contributions - do any of them have maximum caps regardless of the salary?
4)If an employee wanted to buy additional health insurance herself, is that something we can facilitate?
5)Additional benefits - do we have this as an offering in Mexico?
Thanks

They want to pay 5% pension to the employees, which I have added to the breakdowns in the thread.
1. Please can somebody check that these calcs are correct?
2. Are there any other potential costs to the employer at this point that may arise from the employment in Ireland?
I've noted to her that pension will be introduced likely from September, though of course this is not relevant as they are already giving 5%

Rhi has a client that will sign on Friday, who will onboard 3 employees with a July 1st start date. To relieve some of the pressure, do we agree that the following plan is sensible, or is there a better way?
- Their Head of People will email me today to confirm they will sign on Friday once their Series A round due diligence is fully closed (they can't onboard a new vendor until then)
- With this letter of intent, we can release our UK EAs for their review and preconfirmation.
- I have pencilled in an onboarding call with Rhi on Friday afternoon for them to input the employees info.
- Employment agreements are sent to the employees - could this happen on Friday?
- Employees due to sign Monday for Tues 1st start.

Hi team,
Tony had a deal he was working on in January for a mid-market company where they were looking to employ 4 people with us in Poland and the Netherlands.
They've just looped back to us to continue the conversation and have asked specifically about granting an employee a company car. They've asked if we've done this before and if so, how this can be arranged under our framework?
I can see Tony created a thread with Payroll in January regarding a car allowance and Sem wrote the following:
the best option will be the business travel mileage for employees' own vehicles -
Mileage Allowance Payments (MAPs) are what you pay your employee for using their own vehicle for business journeys.
You’re allowed to pay your employee a certain amount of MAPs each year without having to report them to HMRC. This is called an ‘approved amount’
Example
Your employee travels 12,000 business miles in their car - the approved amount for the year would be £5,000 (10,000 x 45p plus 2,000 x 25p).
I can see that this question is a little different though as it's asking about granting a company car rather than giving an allowance for mileage. Have we done this before, and if so, how does it work?

Hi team,
I have an enquiry for a potentially high volume customer. The company is Sol De Janeiro based in Germany and they're currently releasing 6 job adverts for sales reps within the Netherlands. 5 of these reps will be permanently based in department stores. 4 in Amsterdam and 1 in Rotterdam selling to customers in the store. The other rep will be a field sales position which is hybrid. They'll be working from home once a week, and then on the road travelling to different department stores across The Netherlands and Belgium 4 days per week.
They need our support on a potentially long term basis as they have no plans to open up an entity in the Netherlands so this could be a very high value customer for us.
Can we support these roles? From my knowledge, we've researched on-site work before in the Netherlands and it was possible. Is there any other research we'd need to do to understand whether this is something we can support?
I'll attach the job descriptions in the thread.

Hi team,
An employee has asked me if they have the option to opt out of the 5% pension (just them as the employee in the UK).
This is the answer that the Compliance Compass gave me. Is this correct -
Yes, employees in the UK employed by Boundless can opt out of the default 5% employee pension contribution.
Here's how it works under the UK’s auto-enrolment pension scheme (which Boundless, as the employer, follows):
Automatic enrolment: Eligible employees are automatically enrolled into a pension scheme (Boundless uses NEST) with minimum contributions—5% from the employee and 3% from the employer.
Opting out: Employees can choose to opt out within 30 days of being enrolled. This must be done in writing (typically via NEST’s online system).
Refunds: If an employee opts out within the first 30 days, any contributions already made are refunded.
Re-enrolment: By law, employees who have opted out will be automatically re-enrolled every three years if still eligible. They can opt out again if they choose.
For Boundless employees, the HR team facilitates this process and can support any employee who wishes to opt out. The employee does not need to give a reason.

Hi payroll team.
I have a prospect I've been in discussion with for a while about the UK. He is the company COO and is negotiating becoming an employee in the UK with Boundless. He's curious about the pension contributions as they don't seem to match the 3% contriburion. For example for his salary of £80,000, the contribution is £1320.90.
He's sent me the below question. Could someone clarify for me?
An employer must make a 3% contribution to the pension plan. What’s the basis for calculating the total amount?
On an 80k gross salary, the total contribution amounts to 1320.90, meaning the basis of calculation is 44,030. The following link says a bit more, but not much:

I need to create various scenarios to support my negotiations, and I need to understand precisely how to calculate the total cost to the employer.

Hi HR,
I had a call yesterday that requires assessment to see if this is something we can support. I asked the prospect to put in writing exactly what he needed as I don't believe this fits in with the Portage Salarial framework, but due to the value of this deal, I thought it was worth assessing it anyway, as the salaries may fit the minimum criteria for Portage. Here are the details the prospect sent.
We are a company based in the Czech Republic specializing on assembly and installation of logistical systems such as all kinds of racking, automatic moving and storing systems usually working as a subcontractor to a contractor (systems provider) of a client. We have the necessary certifications, permissions and insurance coverage allowing us to work on such sites.
We have a potential job in Lyon, France for about 90 days starting end of October requiring 30 people on average from our side to be seconded to customer site. We invoice our work to systems integrator entity based in Germany.
We normally work 10 hour shifts and 6 days week amounting to 60 hours per week.
According to French rules a working week is 35 hours with a maximum allowance of 48 hours for which the difference is considered overtime. It eventually becomes a maximum of 44 hour week for 12 consecutive weeks of work.
We wish to find a legal way to work beyond the 44 hours maximum per week.
I heard that manpower organisations may bring people into France without the 44 or 48 hour per week restriction. This is unconfirmed information on my end.
Could someone take a look at this for me and give their thoughts? Is this an absolute no go, or is there any way we could make it work?

Hi team,
Max and I have a call on Monday regarding Belgium and the prospect is looking to understand the reconciliation cycle for monthly payroll. They've asked for an overview of the prefunding and reconciliation cycle for monthly payroll.
In particular, will the months of May & December with extra gross pay be accrued for during the year or will the prefunding amounts be more in those months to allow for the extra amounts?

From my experience, payroll in Belgium is confusing for prospects so any thoughts on how to give a correct and concise overview of how it works would be great.

Hi Payroll team - I just spoke to a customer of ATLAS who are using them for 8 employees in the UK.
They've request the Electronic Vehicle Sacrifice to offer a few of their employees, but ATLAS have responded saying they can't offer it as they won't take on the liability for it. As such, the company is looking to switch EOR for all employees.
Has anyone heard of this EVS before? - I've done a bit of research and it looks like it's a portion of the employees salary that is deducted and used towards a car, with a portion un-taxable. Is that correct?
The company is open to suggestions of how this could work, even if it's an employer contribution. Has anyone heard of this before and is there a solution we can offer? my immediate thought is the car allowance but i'm unsure if that fits in with what they need. The person I spoke to couldn't explain it very well because he'd never heard of it himself but had requests from a few of their UK based employees.

He's suggesting a switch to his management and they're open to it.
The main reason for switching is because Deel have applied a cap to the commission he can earn (he's a sales person). He's asked if we've ever come across this before? Deel are saying that they have to cap it because they are liable to pay it and they can't take the risk of not being paid the full amount.
Is this something we've heard before? I assume we don't apply caps on commission earnings?

Hi HR,
I just had a call with a company converting a contractor in France to an FTE. The contractor has been working for them for 3 months so far.
From my understanding, we can only offer a contract for 33 months, even though the worker has never been employed by the company. Is that correct?
They would also like to have a probationary period when the employee is onboarded but they questioned if we're able to offer this if we need to recognise her previous work with the company. I assume it's possible as they've not yet been employed, but could someone confirm if they could include a 4 month probationary period once the employee starts employment under us?
