Executive Assistant to Metchell (EA / Team Operations Lead)

Own day to day people operations across all VA accounts
Act as the primary escalation point for team issues, client fires, and performance concerns
Maintain clear communication between VAs, Client Relations, and Leadership
Ensure all internal processes are followed, documented, and continuously improved
Proactively identify risks related to performance, scheduling, or client satisfaction

Team Management & Performance Oversight

Conduct daily and weekly team check ins via Slack and scheduled calls
Ask probing questions to surface blockers, risks, or gaps early
Escalate urgent issues to Zoom calls when needed
Document all check ins and updates and loop in Client Relations and internal leadership
Track team performance using KPIs aligned to the 4 Cs:
Communication
Collaboration
Conscientiousness
Commitment
Manage performance review cycles including eligibility checks, prep, feedback collection, and approvals

Scheduling & Capacity Management

Draft weekly team schedules starting Wednesdays and finalize Fridays
Ensure schedules align with:
Client requirements
Approved leaves and absences
Missed hours and complimentary hours
Maintain and update account trackers for accuracy
Send schedules to team members and clients using approved templates
Handle schedule change requests and communicate impacts clearly to all internal team members.

Attendance, Leaves & Absences Management

Monitor Slack, email, and text for absence notifications
Record absences and leaves using internal forms and trackers
Notify affected clients using approved support templates
Ensure missed hours are rescheduled appropriately
Coordinate temporary coverage or reassignment when needed

Recruitment & Hiring Support

Support pre screening and interview coordination for new hires
Track applicants by cohort and manage interview scheduling via Calendly
Facilitate interview logistics and documentation
Support onboarding phases including:
Bootcamp
Soft skills training
Hard skills training
Roleplay and peer interviews
Maintain organized hiring folders and documentation in Google Drive

Training & Skill Development

Identify training needs for:
New account assignments
Reassignments
Schedule and track training hours
Ensure training forms are completed and reviewed
Coordinate AI, tools, and platform training as required
Confirm training hours are properly reflected for invoicing

Account Assignment & Reassignment

Manage the full VA assignment process:
Shortlisting
Live testing
Evaluation and final selection
Coordinate shadowing periods and transitions
Ensure process documentation is complete and transferred
Facilitate intro videos and internal alignment
Confirm readiness before final handover to clients

Invoicing & Payroll Verification

Collect invoices from team members every 15th of the month
Verify hours against:
Schedules
Screenshot monitor reports
EOD and EOW reports
Check for discrepancies, idle time, or policy exceptions
Confirm process documentation is complete before approval
Submit finalized tallies to Metchell

Offboarding & Security Compliance

Manage voluntary and immediate resignations
Coordinate exit interviews and internal notifications
Oversee secure access revocation across all tools and platforms
Conduct Zoom based security verification for data deletion
Ensure complete handover of tasks, files, and documentation
Maintain compliance with privacy, confidentiality, and record retention requirements
