Drafting Team Schedules

IMPORTANT NOTES:
Start drafting schedules on Wednesdays
Finalized and send schedules on Fridays
Always check the
Make sure that all missed hours from the previous week are scheduled
Make sure that all schedule requests from the clients are being followed
Always check if there are approved leaves for the team members and plot them in the schedule
If the schedule is still on draft, name the file as “Draft - Team P and T Schedule [Date] - [Date]”
Remove the draft sign once we move on the that week.
Share the draft to the slack channel:
Description:
Time/Day - Time in EST
Team Member - Name of Assistant
Accounts - Client’s name/Company name
Tasks - Admin Support
Duration/Day - total duration in minutes

Make a copy of the current week schedule to start your draft for next week’s schedule

Make sure that the dates are correct (Always update the date in Daisy’s rows then press Enter as there is a formula that automatically changes all dates for the rest of the tabs)

ACCOUNT TRACKER

Always check the for any changes in the hours and missed hours. Once you schedule any missed hours, always update the hours in the account tracker
Always schedule missed hours in the morning or in the afternoon depending on the availability of the team member.

Also, in the account tracker, always check Date and Time and Additional Scheduling Notes - The client relations team are always updating those columns if there are pauses, or any specific requests from the client.

The same process applies when you will schedule complimentary hours.
Keep in mind the preferred schedule of the client if there is and always include their timezone if not in EST
