Define VA Role & Responsibilities
List down key tasks and responsibilities for the VA role
Create prioritized list of responsibilities for the first week, month, and quarter
Outline typical weekly schedule and time requirements
Prepare Tools & Accounts
Set up email account access to all tools and platforms the VA will be using
Provide logins for critical software tools like:
Password/logins manager (e.g. Bitwarden, Dashlane)
Project management tools (e.g. Asana, Clickup, etc)
CRM/databases (e.g. Go High Level, Hubspot)
Communication platforms( e.g. Slack, MS Teams, Discord)
Social Media Platforms (e.g. IG, Facebook, Pinterest)
Cloud storage (e.g. Google Drive, Onedrive)
Others
Ensure VA has access to relevant folders & documents
Provide Training Resources
Provide documentation, manuals, SOPs for critical processes. Examples are:
Company handbook
Operations manual/workflows
Process maps
Others
Provide access to tutorials for unique software/tools for their role such as:
Hubspot
Google Analytics
Sales Nav
Canva
Others
Outline training schedule and plan for first week
1st week - company processes
2nd week - tools training
others
Define Scheduling & Communication
Pick preferred platforms for communication/meetings (e.g. slack - work updates and meetings)
Agree on response time expectations (e.g. maximum 1 hr for feedback on updates on slack)
Set up regular check-ins and meetings (e.g. Every 9am PST - daily huddle)
Define availability preferences and guidelines
Track Progress & Feedback
Set a weekly update on VA’s performance and progress in the following format:
What went well this week?
What went wrong?
What are things to improve?
What is hindering you from performing?
Implement a 1- month evaluation or review process for the VA.
Set goals and metrics for success (e.g. 5 daily posts on facebook, zero emails in regular inbox, etc.)
