How can I view and download Gradebook data as a school administrator?

Toddle provides a centralized place for you to review the academic performance of your students across different grade levels. As a school administrator, you can use the Gradebook card to view and download class-wise or student-wise academic scores and grades. Read this article to learn more.

View Gradebook data

As an administrator, you can access the Gradebook directly from the school homepage.

After selecting your preferred year group, you will land on the ‘Class view’ tab, which displays a list of classes within the selected year group. The ‘Student view’, on the other hand, will show a list of all students in the selected year group.

Class view

The 'Class view' tab provides a list of all classes within a year group and the number of students enrolled. Click on a class to access its gradebook, allowing you to effectively review class performance.
Use the ‘Status’ filter to view classes based on their current status - active or archived.

Within a specific class gradebook, you can review its students’ ratings on assessments, standards, and learning goals.
The ‘Assessments’ tab displays all tasks created in the class for the selected grading period. For each task, you can see the different assessment tools used and the grades awarded. Additionally, you can view the term total and score aggregations for each assessment category.

Next, you will find tabs for standards and learning goals, which provide insights into student performance based on the selected grade scale. You can click on any of these ratings to view the evaluation history to track students’ progress over time.
Additionally, you can export students’ standard ratings to a spreadsheet using the download icon at the top-right.

Student view

The 'Student view' tab lists all students of the selected grade level/year group.
To view students of a specific class within the grade, use the ‘Classes’ filter at the top. Additionally, use the ‘Status’ filter to view students based on their current status - active or archived.

Clicking on a student’s name in the ‘Student view’ tab will take you to detailed insights into their performance. Here, you can view their scores across all enrolled courses/subjects and their progress in learning goals. Additionally, use the academic year and grading period tabs at the top to review their performance for each year/grading period.

Download Gradebook data

On the main page, use the download icon on the top right to export students’ performance data in a spreadsheet format. You will receive an email with a link to the compiled data. The link will be valid for 7 days. There are two formats in which the gradebook can be downloaded:
Class gradebook
Student gradebook
Note: all standards and assessments appear in the downloaded sheets, irrespective of whether they have been evaluated on.

Class gradebook

You can download performance data in two ways: a summary report covering all classes in the selected batch, or individual class reports for a more detailed view.

Summary report

For the summary report, you will be prompted to choose whether to download data for assessments and/or standards. Next, select the grading periods for which you wish to download this data.
Depending on your selection, two spreadsheets are downloaded:

Assessment scores summary report: This sheet displays individual students’ category scores (if enabled), overall scores, and grades for the selected grading period. The data is grouped by classand there will be a separate tab for each grading period.
Note: Scores that have been manually overridden are indicated by an asterisk. The same applies to all exported assessment reports.

Standards report: This sheet contains students’ recent most ratings on standards, based on the defined grade scale, grouped by class. There will be a separate tab for each grading period.

Gradebook for each class

For the class-specific report, you will be prompted to select specific class(es) and grading period(s) for which you wish to download data. Next, choose the type of data to download: assessment gradebook, and/or standards gradebook.
Within the assessment gradebook, you can choose from the following columns to include by using the arrow next to them:
Individual assessment tools
Category total
Term total

Depending on your selection, individual files for each class and grading period will be created. For example, if you select two classes and two grading periods, you will receive four files. Each spreadsheet will contain the following tabs:
Assessments by creation date: displays students’ assessments and corresponding scores in order of their publishing date (most recent to oldest). This is followed by the category totals, and overall scores, and grades for the selected grading period.
Assessments by assessment categories: displays students’ assessments and corresponding category totals, organised by categories, followed by the overall scores and grades for the selected grading period.

Standards - final grade - <grade scale name>: Displays a separate standards tab for each grade scale configured for the standard set. It includes each student’s recent most ratings on standards across the subjects/courses they are enrolled in, for the selected grading period.

Student gradebook

Gradebook for each student

For the student-specific report, you will be prompted to choose whether to download data for specific student(s) or all students. You can also select one or more grading periods for which you wish to download data.
A separate sheet is created for each student and grading period. Based on your selected views, each sheet will have separate tabs for the following views:

Grading period overview: This tab includes the student’s overall scores and grades for the selected grading period, based on the defined grade scales. This data is shown for all subjects/courses the student is enrolled in.

All assessments: This tab displays student scores for each assessment, aggregated scores for assessment categories, and overall scores and grades for the selected grading period. This data is shown for every subject/course the student is enrolled in.

Standards gradebook: This tab contains the student’s recent most ratings on standards across the subjects/courses they are enrolled in, for the selected grading period. Note that these will be recent most ratings, as recorded in the Gradebook.
