Toddle provides a seamless way for administrators to share progress reports with students and their family members. You can share reports in bulk or individually, enabling students and family members to access them directly on Toddle.
Navigate to Progress reports
To get started, go to the Admin portal for your school and navigate to Reporting setup from the left navigation pane.
From the left navigation pane, select Progress report sets, then open the report set you want to share from the list.
Once you open a report set, you will see a grade-wise breakdown of reports. From here, you can choose to share reports with students and family members in bulk or individually.
Note: Reports must be Locked to be shared. Locking a report prevents further edits by teachers, ensuring that all ratings and comments are finalised before the report is shared.
Share reports in bulk
You can share reports in bulk either by selecting grades or by selecting students.
Share reports by selecting grades
Select all or specific grade reports, then select the Share with family & students icon in the toolbar at the bottom. Locked reports in the selected grades will be shared, while reports with other statuses will remain unchanged.
A pop-up will appear to confirm whether you want to notify students and family members. Students and family members will receive a notification via email and an in-app alert. This option is selected by default.
Confirm your selection, then select, Yes, share progress reports, and proceed.
Share reports by selecting students
Open the relevant grade, then select all or specific students as needed. Select the Share with family and students icon in the toolbar at the bottom. After you confirm in the pop-up window, students and family members are notified and can access the reports directly on Toddle.
Share reports individually
Within a grade, select the three-dot menu under the Actions column next to a student, then select Share with family & students. The remaining steps are the same as described above.
Note: You will see the Share option only if the report is Locked.
Notifications for students and family members
Once reports are shared, students and family members will receive both in-app and email notifications and can view the reports on the Toddle web or mobile app. The following examples show student notifications. Family members receive similar notifications.
Via email
Students and family members will receive an email when the school shares a report with them. The email will come from “[school’s name] via Toddle” with the subject line: “New Progress report is shared.”
They can select View progress report in the email to open the report.
Via the in-app notification
Students and family members receive a notification each time a report is shared with them. To view the notification, they can select the bell icon in the top-right corner of their homepage.
Select the relevant notification to go directly to the report.
Withdraw a shared report
There are two ways to withdraw a shared report:
1. In bulk, using the toolbar at the bottom
2. Individually using the three-dot menu under Actions
Once a report is withdrawn, it remains locked and must be unlocked before any changes can be made.
Note: After a report is withdrawn, students and family members will no longer see the in-app notification for it. The email that was originally sent will remain in their inbox. However, they will not be able to access the withdrawn progress report.
Track report views by students and family members
You can track whether students or family members have viewed shared progress reports. This can help you monitor engagement and support timely follow-through.
To access this data:
1. Navigate to Admin portal → Reporting setup → Progress report sets.
2. Select the three-dot menu under the Actions column for a report set.
3. Select Export report set.
4. Select Export report access history, then select Export.
This downloads a single sheet containing the following details:
Grade name, Student UID, and Student name Student view details: the student’s name and the timestamp of their first view Family view details: the name(s) of the family member(s) who viewed the report (separated by semicolons) and the timestamp of the first view If a report has not been opened yet (by either the student or a family member), the corresponding cell shows a hyphen (–) with a highlighted background Note: The names shown in the sheet match the display names used on Toddle.
