How can I manage my school's family data as an administrator?

Toddle provides a centralised space to manage all family member records linked to your school’s students. In this article, learn how to invite, connect, and manage family members individually or in bulk.

Navigate to the family members roster

To begin, click the Toddle icon in the top-left corner of your homepage and select your school's ‘Admin portal’ from the dropdown menu.

In the left-hand menu, go to Members → Family members.

Add family members

Invite individual family members

Toddle offers three ways to invite family members:
Sync via your Student Information System (SIS)
Invite via email
Print family invites for all students (PDF)

Bulk upload family members

Use this option to invite new family members or update details of existing ones in bulk.
1. On the ‘Family members’ page, click the 'Bulk update family members' icon.
2. In the pop-up, click 'Download current info in XLSX files'. This file is pre-populated with your school's student data and any connected family members.

3. Open the downloaded file:
In the Family sheet: Add or edit family details (First name, Last name, and Email) for each student.

In the Settings sheet: If you want to reinvite family members who haven’t accepted the invite yet, set the value to ‘TRUE’. The default value is ‘FALSE’.

Tip: Always update the latest XLSX file of the current family roster to prevent overwriting or deleting data. For a successful upload, follow the instructions in the ‘How to use this template’ sheet. Incorrect entries will cause the system to reject the data.
4. After saving your changes, upload the file by clicking 'Attach XLSX file'. Select the language for the invitation email and click 'Upload'. ​

5. After uploading your changes, a pop-up will summarize the updates to your family member records. Here's what you'll see:
Added: New family members who will be added and sent an email invitation. This also applies if an existing email was changed to a new one.
Note: When you update a connected family member’s email, the previous connection is removed and a fresh invitation is sent to the new email address.
Modified: Family members whose details (First name, Last name) you updated on the sheet.
Reinvited: Family members who were previously invited but haven't accepted yet.
Deleted: Family member's email was removed from the sheet. They will be disconnected and removed from the student's profile in Toddle.
Once confirmed, click ‘Update’.

6. This action will send invitations only to the newly added family members, not to those who were previously invited. Their Invitation status on your dashboard will then change to ‘Invite sent’. Once a family member accepts the invite via email, their status will update to ‘Connected’.
Note: Invitations expire after one week. If an invite has expired, you'll need to resend it to ensure the family member can connect.

Manage family data

Several actions can be taken from the roster to filter, sort, and customize your view of the family members roster to find specific data, export records, and reset family codes efficiently.

Filter data

You can use the following tools to filter data on the roster:
Summary Tabs: At the top of the page, you will find four summary tabs that provide a quick overview and act as one-click filters:
Student with connected family members
Students with family invited
Students with an approval request pending
Student with no family members added
You can click on any of these tabs to instantly filter the roster below to show only the students who match that specific status. Or, you can use the ‘Classes’ and ‘Status’ drop-down menus to narrow the list of students.
Tip: Use the search bar to quickly look up a specific student or family member by name.

Bulk actions

Use the Bulk actions menu to perform common actions on multiple students’ family connections at once. This helps you save time when managing classes, access, and family connections at scale.
Select one or more students using the checkboxes, click Actions, and choose the action you want to apply to all selected students.
The list of actions available is contingent on the connection status of the family members:
1. Students with family members connected, students with family invited, family not invited, and all active students:
Invite family via email: Send an email invitation to connect a family member to the selected student.
Print family invite (pdf): Download the family invite code to share offline.
Reset family invite code: Generate a new invite code if the existing one has expired or needs to be refreshed.
Remove all family members: Remove all linked family members for the selected students.

2. Family members with approval request pending, blocked students, and students with no family members added:
Invite family via email: Resend the email invitation to the family member if they have not completed the approval process.
Print family invite (pdf): Download the family invite code to share offline so the family member can complete the connection.
Reset family invite code: Generate a new invite code if the previous one has expired or needs to be refreshed.

Individual actions

To take actions for an individual student’s connected family, simply click the three-dot icon against the student you wish to manage. Using the dropdown menu, you can:
Invite family via email: Send an email invitation to family members for the selected student.
Print family invite (pdf): Download the family invite code to share offline.
Edit family information: Update the family member’s details linked to the student.
Reset family invite code: Generate a new invite code if the existing one has expired or needs to be refreshed.
Remove family member: Disconnect the selected family member from the student’s profile.
Note: For students with no family members invited, the options to Edit family information and Remove family member don’t exist.

Export data

Export your family data into a spreadsheet for tasks like auditing records using the download button:
Download list of students with family not added (xlsx): Get a targeted list of all students who do not have a family member connected.
Download list of all family members (xlsx): Get a comprehensive spreadsheet of all family members in your school's system.
Download student list (xlsx): Get a comprehensive spreadsheet of all students in your school's system.
Selecting either of these options will immediately download an Excel (.xlsx) file to your device.

Manage student data

You can also manage student data directly from the family page - regardless of connection status - via the same actions menu.
Download list of selected students (xlsx): Export student data into an Excel file.
Note: You can also download the student roster using the download button.
Unblock student access: Restore platform access for students who were previously blocked.
Temporarily block student access: Suspend a student's platform access and prevent their connected family members from logging in.
Note: Blocked students will still appear in a teacher's class list, and teachers can continue to assign work to them.
Reset student sign-in codes: Generate new sign-in codes for students to resolve login issues.
Logout students from all devices: Remotely sign students out of all active sessions to prevent unauthorized access.

Frequently asked questions (FAQs)

Q1. If family members are rostered through SIS, do they receive a family invite via email?

When family members are rostered via SIS, they are auto-connected to their child(ren) on Toddle as per the information received through sync. They do not receive any invite email from Toddle.
