Every Slite doc has an optional verification status that indicates whether the doc is accurate and relevant, outdated, or pending verification from a teammate.

The "verified" doc status indicates whether the doc is accurate and relevant, in other words, it signifies content that readers can trust. This status also empowers both Search and Ask to base their answers on such "verified" content, making results even more trustworthy. Doc Owners get automatic reminders to update verified content and are notified of changes by others.
The "outdated" doc status helps doc owners and collaborators flag potentially inaccurate or outdated docs to prevent their unintended use and reduce status inquiries.
The "request verification" doc status streamlines doc review requests between teammates, and the Knowledge Management Panel aids in managing multiple requests efficiently without the need for personal to-dos or reminders.

The "verified" doc status

What's the purpose of adding the "verified" doc status?

The "verified" doc status indicates whether the doc is accurate and relevant, in other words, content that readers can trust. It also powers both Search and Ask to base their answers on such "verified" content, making results even more trustworthy.
Doc Owners will receive automatic reminders to review and refresh their verified content without the need to create personal reminders, and if changes are made by others the Owner will once again be notified.

How does the "verified" doc status work?

Docs can be marked as “verified” for a set timeframe, such as one, three or sixth months, or, if preferred, a specific future date.

"Verified" docs are immediately locked upon verification to avoid any unwanted edits or changes. Only when the doc is unlocked can it be edited, and once editing is finished the doc status will be set to "Verification Requested" and the Owner will be notified to review the changes. If you’re the doc Owner, the status "Verification Requested" will be skipped and the doc will remain as “Verified”.

Which Docs should have the "verified" doc status?

Content that is not bound to time such as a Sales playbook, a HR policy, design principles or product feature guides. With such content, usually there would be one of them and it would not be edited regularly - remember, as soon as it's "verified" the doc is locked for editing.
There is content, such as quarterly product roadmaps, yearly business strategies that are usually set in stone, but for a very specific time period. These can remain verified as they continuously evolve and until their verification expiry date arrives.

Who can add the "verified" doc status?

Anyone with write access can add the "verified" doc status, but it is the doc Owner that will receive notification reminders and alerts.
Doc ownership is easily transferable to another teammate, so you can be confident that content is owned by a team member.

The "outdated" doc status

The "outdated" doc status serves the purpose of allowing doc owners and collaborators to signal that a doc might be incorrect or outdated, preventing its unintentional use by others and avoiding repeated inquiries about its status.

How does the "outdated" doc status work?

Anyone can mark a doc as "outdated" and will be required to leave a note explaining what make the doc outdated. The note is visible to all users who view the doc, and if the person flagging the doc as outdated is someone other than the Owner, the Owner will be notified.

The "request verification" doc status streamlines the process of teammates asking each other to review and verify specific docs, eliminating the need for additional communication methods. Furthermore, the Knowledge Management Panel assists individuals handling multiple verification requests, removing the necessity for creating personal to-do lists or reminders.

How does the "request verification" doc status work?

Anyone can add a "request verification" status to a doc, along with a required note explaining what needs to be reviewed. The doc Owner will receive a notification to review the doc, so ideally the doc Owner should be correctly assigned before the request.
