This is a part-time job (20 hours / week) with 80% on-site tasks within a core time schedule at Budapest, Andrássy út 66. and 20% flexible administrative tasks that you can manage online from anywhere.
About the workplace:
A66 is a creative workplace and community, bringing together companies and talent from tech and design industries in a 3.000 m2 social and collaborative environment right in the heart of Budapest. The Space Matters Lease Kft. rents offices and provides shared services/facilities to its tenants in the building.
Manage day to day operations to make sure the office is kept in top shape and safety standards are maintained
Coordinate office equipment maintenance plan and follow up on any repair, including but not limited to heating, air-condition, electrical appliances, plumbing and pest control
Organize ad-hoc maintenance call-outs relating to office equipment, including but not limited to handyman services, janitorial, HVAC, electrical, plumbing and pest control
Organize the daily, seasonal and ad-hoc cleaning services, including interaction with the cleaning staff and the cleaning service provider’s team manager
Interaction with the landlord to report any repair or maintenance that fall under landlord responsibility, as well as follow up on any repair following a maintenance visit
Manage member requests via our ticketing system
Health & safety
Assist with health & safety issues to ensure compliance with local laws and code requirements, including regular floor checks for obstructions
Utilizing space management tools - maintain occupancy data and provide accurate capacity reports when required, proactively manage any variances
Assist the planning and construction operations on tenant moves and office development where required.
Door access management
Ensure physical security standards are maintained, manage issuance of proxy badges, track service provider badges and assist with access control locally
Manage member on- and off-boarding - this includes but is not limited to permission assignments as per team admin requirements, set up accounts, and office welcome. Coordinate with the landlord to issue building security badges and maintain record of badges.
Vendor management / finance
Support sourcing, engagement and management of vendors for office related services: cleaning, office equipment and supplies, recycling/waste management, health & safety contractors etc.
Support invoice submission and upload purchase orders to our financial management system
Assist vendors with questions
Keep in touch with our members in-person and via email+slack channels
Participate in assembly meetings and strive to continually improve communication and collaboration
Keep on top of changes and apply to internal knowledgebase/wiki
Other reasonable tasks as assigned as and when they occur
Knowledge, skills, experience:
Excellent customer service focus, good interpersonal/problem solving skills
Ability to learn to use office management software tools and applications
English and Hungarian - fluent written and verbal is a requirement
Work independently with accountability to and support from remote team
Multi-tasker. Can effectively cope with change, can shift gears quickly
Able to communicate effectively at all levels in a diverse and fast paced operating environment
It’s a plus if you have experience with proven track record in overseeing all aspects of facilities activities (it can be workplace, customer service or hospitality areas)
